Job Description: Administrative Support Specialist

We are seeking an Administrative Support Specialist to join our team at Menzies Philanthropic Foundation. As an integral part of our organization, you will play a crucial role in supporting the CEO in their day-to-day activities.

Your primary responsibilities will include scheduling management, communication coordination, meeting preparation, and maintaining confidentiality. You will also be required to handle sensitive and confidential information with discretion and professionalism.

Key Skills and Qualifications:

  • Bachelor's degree in Business Administration, Communications, or related field preferred but not required.
  • Proven experience as an executive assistant or personal assistant, preferably supporting C-level executives.
  • Excellent organizational and time-management skills, with the ability to prioritize tasks and manage multiple deadlines effectively.
  • Strong communication and interpersonal skills, with the ability to interact confidently and professionally with stakeholders at all levels.
  • Proficiency in English is required. Proficiency in Spanish at professional level is highly preferred.
  • Proficiency in Google Workspace, Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Exceptional attention to detail and accuracy, with a commitment to delivering high-quality work.
  • Discretion and integrity in handling confidential information and sensitive matters.
  • Flexibility and adaptability to meet the changing needs and demands of the role.
  • Strong problem-solving skills and the ability to think critically and proactively anticipate needs.
