About the Role

We are seeking a highly skilled and detail-oriented Executive Support Specialist to join our team at Jobot. This role is crucial to the smooth operation of our firm, providing essential support to our consultants and contributing to the success of our business.

Key Responsibilities
  • Provide administrative support to consultants, including scheduling meetings, making travel arrangements, and preparing reports.
  • Manage and maintain an efficient filing system, ensuring that all documents are accurately recorded and easily accessible.
  • Handle all incoming and outgoing correspondence, ensuring that all communications are handled professionally and in a timely manner.
  • Order office supplies, ensuring that inventory is always adequately stocked and that all equipment is in good working order.
  • Assist with data entry tasks, accurately inputting information into our database and maintaining up-to-date records.
  • Prepare and edit presentations, reports, and other documents as required.
  • Coordinate with other departments to ensure that all administrative tasks are completed efficiently and effectively.
  • Contribute to the organization and planning of company events, meetings, and workshops.
  • Handle confidential information with discretion and professionalism.
Requirements
  • A minimum of 5 years of experience in an administrative role, preferably within a consulting firm.
  • Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Excellent communication skills, both written and verbal.
  • Strong attention to detail and a high level of accuracy in all work.
  • Ability to work effectively both independently and as part of a team.
  • Experience in handling sensitive information with discretion and integrity.
  • Proven ability to manage and maintain an efficient filing system.
  • Experience in ordering office supplies and managing inventory.
  • Demonstrated ability in data entry with a high level of accuracy.
