Key Responsibilities

The primary responsibilities include:

  1. Responding to incoming calls to triage and schedule appointments for physicians based on established protocols.
  2. Managing the scheduling and coordination of all referrals for providers within the office.
  3. Accurately collecting and entering patient demographic and insurance information into the EHR system.
  4. Addressing patient inquiries regarding appointments and providing information about necessary paperwork and clinic directions.
  5. Monitoring voicemails and ensuring timely follow-up by entering messages into a tracking system.
  6. Making follow-up calls to patients who missed or canceled appointments to facilitate rescheduling.
  7. Collaborating with other schedulers to ensure prompt communication and response to patient calls.
  8. Coordinating with physicians and medical assistants to schedule surgeries for patients.
  9. Contacting hospitals or surgical centers to secure reservations for surgeries as per physician specifications.
  10. Arranging anesthesia services for surgical procedures.
  11. Communicating with primary care offices to obtain necessary medical clearances for surgeries and updating EHR records accordingly.
  12. Working with vendor representatives to address surgical device and implant needs for patients.
  13. Providing patients with comprehensive education regarding their procedures, including pre and post-operative instructions.
  14. Coordinating with insurance representatives to secure pre-authorization for surgeries.
