Job Title: Secretary/Bookkeeper

Job Summary:

We are seeking a highly skilled and detail-oriented Secretary/Bookkeeper to join our team at the Alabama Department of Education. The successful candidate will be responsible for maintaining accurate and thorough financial accounting records, preparing periodic financial and statistical statements, and performing various administrative tasks.

Key Responsibilities:
  • Plan, perform, and supervise the recording of transactions to accounts receivable and payable.
  • Prepare periodic financial and statistical statements, reports, and tabulations.
  • Enter data on computer and produce periodic computer-generated reports.
  • Maintain payroll transactions.
  • Issue purchase orders and check invoices; prepare checks.
  • Reconcile school reports and bank accounts.
  • Prepare reports, bank balance reports, and other related reports.
  • Communicate effectively with administrators and other contact persons using tact and good judgment.
  • Follow attendance, punctuality, and proper dress rules.
  • Maintain confidentiality regarding school/workplace matters.
  • Model and maintain high ethical standards.
  • Demonstrate initiative in the performance of assigned responsibilities.
  • Maintain expertise in assigned area.
  • Participate successfully in the training programs offered to increase skill and proficiency related to assignment.
  • Provide principal and staff with timely information to ensure expenditure of school funds.
  • Answer phone, serve as receptionist, and perform office tasks as assigned.
  • Keep supervisor informed of potential problems or unusual events.
  • Respond to inquiries and concerns in a timely manner.
  • Exhibit interpersonal skills to work as an effective team member.
  • Demonstrate support for the school system and its goals and priorities.
  • Demonstrate initiative in identifying potential problems or opportunities for improvement.
  • Prepare all required reports and maintain all appropriate records.
  • Perform other tasks consistent with the goals and objectives of this position.
Requirements:
  • High school diploma or equivalent, supplemented by business courses in bookkeeping or accounting.
  • Minimum of three (3) years bookkeeping experience or an equivalent combination of training and experience preferred.
  • Familiarity with McAleer accounting software preferred.
  • Must meet background clearance requirements as specified by Alabama statutes and state Board of Education regulations.
Working Conditions:

This is a light work position that requires exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force as needed to move objects.

Terms of Employment:

Salary and benefits shall be paid consistent with the System's approved compensation plan. Length of the work year and hours of employment shall be those established by the System.

Evaluation:

Performance of this job will be evaluated in accordance with provisions of the Board's policy on evaluation of personnel.
