St. Croix Health is seeking a full-time (1.0 FTE) Healthcare Unit Administrator to become an integral part of our team. This role involves working standard office hours, consisting of 8-hour shifts, with a weekend rotation approximately once every three months.
The Healthcare Unit Administrator is tasked with a variety of administrative duties to support both the healthcare providers and the patient care team.
This position involves entering patient communications into the Electronic Medical Record system, ensuring that necessary patient medical records and information are readily available and accurately documented, scheduling patient appointments, and preparing relevant medical record documentation.
The Healthcare Unit Administrator will handle incoming calls and relay messages to the appropriate care team members and other necessary resources for patient care.
Key Responsibilities:
- Coordinate activities within the Care Unit to support both providers and patient care staff, including monitoring provider schedules, being aware of add-ons, cancellations, no-shows, and overbookings, and scheduling patient appointments for testing, referrals, or follow-up visits as required.
- Maintain up-to-date and accurate schedules, making timely changes and utilizing appropriate communication methods.
- Utilize communication systems effectively for both routine and emergency transactions.
- Demonstrate the ability to provide care or service, adjusting approaches to reflect the developmental levels and cultural differences of the population served.
- Order and maintain adequate supplies of office materials and other resources necessary for patient care.
- Ensure that stock is maintained appropriately and is consistently available to medical providers.
- Perform telephone, refill, and order encounters or direct communication with the care team promptly to meet patient needs, including requesting and obtaining patient reports as necessary.
- Meet patient needs in a timely manner.
Qualifications:
Education & Licensure: High School diploma/GED.
Knowledge, Skills & Abilities: Excellent communication and listening skills; demonstrated ability to work independently with minimal supervision; adept at managing multiple demands and priorities; proficient in time management and task prioritization.
