Job Overview

We are looking for a Financial Operations Specialist to support our accounting department. In this role, you will assist the Controller with various financial tasks, focusing on billing and accounts receivable/payable.

Key Responsibilities:

  • Process cash, check, and credit card transactions, ensuring accurate entry of customer payments and bank batch scanning.
  • Manage invoice processing for vendor payments, payroll, and loans.
  • Create and maintain detailed Excel spreadsheets for financial tracking.
  • Provide backup support for front desk operations, including answering phone calls and assisting customers professionally.
  • Help compile inventory reports and address non-payment issues, including NSF collections.
  • Assist in managing propane customer contracts and setting up new accounts.
  • Gain knowledge of propane safety protocols, delivery processes, and emergency procedures.
  • Collect and update W-9 forms for new vendors.
  • Prepare 1099 forms for vendors at the end of the fiscal year and ensure reporting to the IRS.
  • Support the filing of monthly and annual taxes, gathering payroll information, and managing government payment programs.

Qualifications:

  • Proven experience in accounting is essential, including accounts payable, accounts receivable, and general ledger management.
  • Strong proficiency in computer applications, particularly Microsoft Office Suite (Excel, Word, etc.).
  • Experience in customer service or a related role is preferred.
  • Exceptional interpersonal and communication skills.
  • Strong time management abilities and capacity to handle multiple tasks under pressure.
