Position Overview:

ABIDSS, Inc. is seeking a dedicated Medical Records Collection Specialist to become a vital part of our team.

The primary responsibility of a Collection Specialist is to foster continuous communication with each record custodian. This open line of communication is essential for obtaining the requested documentation, an Affidavit of No Records, or other necessary correspondence by the client's deadline. This is achieved through consistent phone calls or alternative communication methods with the record custodian following the service of the request. As the deadline approaches, communication efforts should be intensified to meet the client's expectations. All interactions with facilities are meticulously documented both on paper and within our proprietary computer system. Clients can monitor the progress of their orders through timely and precise updates from our internal system.

This position is ONSITE at our office, offering a full-time schedule from Monday to Friday (standard hours). Overtime may be required based on business demands.

Key Responsibilities:

  • Initiate and maintain communication with custodians of records based on the priority of orders.
  • Conduct regular and persistent follow-ups via phone or other means to ensure timely completion of each order.
  • Increase the frequency of communication with custodians as the order due date approaches, sending appropriate notifications to facilitate the production of records in line with company procedures.
  • Document all conversations and order progress in the internal system to ensure due diligence.
  • Organize and prioritize work orders to ensure timely follow-up based on due dates.
  • Perform quality control on incoming records to ensure they match the work order requirements.
  • Accurately schedule field jobs, verifying all necessary information prior to setting appointments.
  • Report daily productivity metrics to the supervisor through consistent maintenance of the internal spreadsheet.
  • Route work orders to the appropriate departments promptly.

Additional Responsibilities:

  • Accurately create offsite orders after thorough information verification.
  • Close and forward orders as necessary.
  • Document all film breakdowns in accordance with company protocols.

Qualifications:

Experience:

  • Previous experience in customer service, call centers, medical, legal, or insurance claims environments.
  • Level II requires at least one year of experience in a Document Retrieval role or equivalent experience.

Skills and Abilities:

  • Strong understanding of organizational goals and objectives.
  • Exceptional telephone communication skills.
  • Highly self-motivated and able to work independently.
  • Quick to grasp new concepts and ideas.
  • Introductory analytical and problem-solving skills.
  • Ability to prioritize and execute tasks effectively in a fast-paced environment.
  • Basic written, interpersonal, and organizational skills.
  • Some familiarity with medical facility processes and medical-legal terminology.
  • Essential multi-tasking abilities.
  • Typing speed of at least 35 words per minute.
  • Bi-lingual skills are a plus.
