Job Summary:

We are seeking a highly organized and detail-oriented Processing Clerk, Shipping and Receiving to join our team at BLM GROUP USA CORPORATION. As a key member of our administration team, you will be responsible for timely and accurate set up of customer orders, shipping order administration, and receipt and processing of customer payments.

Key Responsibilities:

  • Research and resolve customer issues related to orders and shipping.
  • Provide customers with written pricing quotes for BLM products and parts.
  • Answer customer questions about pricing, order placement, order updates, and status of shipping orders.
  • Resolve customer complaints and direct larger issues to the appropriate teams or manager.
  • Track shipments and provide customers with shipping updates.

Order Processing:

  • Receive and verify customer orders for accuracy and completeness.
  • Prepare deposit invoices for issuance to customers.
  • Verify part numbers and pricing.
  • Enter customer orders into the appropriate systems.
  • Ensure all parts and accessories are available to complete each order.
  • Generate Order Acknowledgments for customers.
  • Provide Order Acknowledgments to the Warehouse team for processing and to the Accounting team for invoicing.
  • Process Return Material Authorizations (RMAs) for customer returns.
  • Prepare Delivery Notes for the release of product.
  • Create final invoices for submission to customers.

Accounts Receivable:

  • Receive customer payments and match invoices.
  • Collect on past due accounts.
  • Research and resolve account discrepancies.
  • Prepare weekly bank deposits.

General Office Duties:

  • Maintain sales tax spreadsheets and submit sales tax information to state websites.
  • Maintain bi-weekly payroll spreadsheets for the Service Department.
  • Maintain warranty spreadsheets.
  • Analyze and resolve inventory discrepancies.

Requirements:

  • High school education or equivalent.
  • Minimum two years of general office experience.
  • Minimum two years of customer service experience.
  • Some accounts payable experience preferred.

Working Conditions:

This position is performed primarily in a warehouse environment where temperatures may vary.

Reporting Relationships:

This position reports to the Spare Parts/Shipping and Receiving Supervisor.
