This crucial position entails delivering extensive administrative, financial, and legal assistance to the Director and key internal stakeholders, ensuring the seamless functioning of our family office. Proficiency in Spanish is highly advantageous, as it will significantly enhance communication within our diverse and international team.

Key Responsibilities:

  1. Oversee annual regulatory submissions, collaborating closely with global service providers.
  2. Facilitate the planning and organization of bi-annual meetings for director elections and other vital business affairs.
  3. Coordinate and manage additional interim director meetings as necessary.
  4. Precisely document financial resolutions and other important decisions made by the directors.
  5. Track all trust fund transactions from underlying entities to the trusts, ensuring compliance and transparency.
  6. Draft resolutions and compile necessary documentation for establishing banking relationships, engaging with investment managers, and other financial operations.
  7. Maintain and update the organization's minutes book and other critical corporate records.
  8. Communicate with foreign registered offices, ensuring effective correspondence and record maintenance.
  9. Input historical data and documents into designated software systems for each entity.
  10. Prepare and oversee all banking instructions, ensuring precision and compliance.
  11. Develop and sustain a robust document storage and retrieval system, including a comprehensive repository of documents.

Qualifications and Skills:

  1. A Juris Doctor degree is essential.
  2. Experience in Family Office, Tax, and Funds is preferred.
  3. Relevant background in corporate administration or a similar capacity.
  4. Strong organizational capabilities with meticulous attention to detail.
  5. Exceptional communication and interpersonal skills.
  6. Ability to manage confidential information with utmost discretion.
  7. A proactive approach to problem-solving and decision-making.

Compensation will be aligned with the responsibilities and expectations of the role, as well as the experience of the candidate.
