Administrative Support Specialist

We are seeking a highly skilled and experienced Administrative Assistant to provide exceptional support to our executives and leadership team. As a key member of our administrative team, you will be responsible for maintaining a high level of organization, discretion, and professionalism in all aspects of your work.
Key Responsibilities- Manage and coordinate executive schedules, ensuring timely and effective use of their time.
- Prepare and distribute meeting materials, presentations, and other necessary documents.
- Anticipate and respond to scheduling conflicts and changes, communicating effectively with stakeholders.
- Plan and compile Board of Trustee materials, adhering to established timelines and standards.
- Attend board meetings, taking notes and documenting discussions, motions, decisions, and action items.
- Utilize advanced Microsoft Office skills to create, produce, and publish materials, as well as host virtual meetings.
- Exhibit excellent communication and writing skills, demonstrating the ability to function in a professional and effective manner.
- Provide a bridge for smooth communication between administrative assistants and internal departments, maintaining credibility and trust with senior management staff.
- Display efficient work management skills, prioritizing tasks and meeting deadlines.
- Demonstrate initiative and self-management, reflecting a proactive and problem-solving approach.
- Ensure consistent and efficient interaction with other executive secretaries and leadership, promoting a welcoming and inclusive environment.
- High school diploma required; four-year degree preferred or commensurate experience.
- Minimum of 5 years of experience in an executive or senior administrative business environment, health care preferred.
- Proficiency in Microsoft Office software applications, including Microsoft Word, Excel, PowerPoint, and Outlook.
- Strong organizational skills, with the ability to prioritize multiple tasks and maintain attention to detail.
- Excellent interpersonal skills, ensuring all encounters are handled in a professional and courteous manner.
