JOB DESCRIPTION OVERVIEW:

The primary role of the Clinical Staffing Coordinator is to oversee locum tenens opportunities, manage candidate submissions, and provide support to external staffing agencies to ensure the selection of qualified clinicians for essential locum positions. This position plays a crucial role in the onboarding process and the ongoing management of locum providers. The Clinical Staffing Coordinator maintains vital relationships to guarantee the fulfillment of all locum clinician staffing needs that cannot be met internally.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Builds and sustains relationships with external staffing agencies while upholding the integrity of the vendor management plan.
  • Develops expertise in staffing locums for a specific service line, with potential for cross-training in various areas.
  • Provides weekly updates on available locum opportunities to internal teams and external agencies.
  • Manages the opening and closing of opportunities in relevant systems.
  • Records all necessary actions for internal and external locum candidates in the designated tracking system.
  • Conducts candidate screenings, submissions, and secures leadership approvals within a 24-hour timeframe.
  • Delivers all locum presentations promptly to relevant stakeholders.
  • Negotiates rates with agencies within established parameters and escalates any exceptions for approval.
  • Coordinates clinical interviews and screenings with agencies for locum candidates, ensuring timely feedback is provided.
  • Facilitates communication regarding expectations for agencies and providers following leadership approval.
  • Informs relevant internal teams of candidate acceptances and initiates onboarding processes.
  • Requests completion of necessary documentation from agencies and follows up on submissions.
  • Escalates issues regarding documentation delays to management for resolution.
  • Initiates contracting processes upon receipt of signed agreements.
  • Acts as a liaison between clinical facility leadership and external staffing agencies.
  • Facilitates compliance training sessions with agencies for existing locum providers.
  • Undertakes special projects and additional responsibilities as assigned by management.

QUALIFICATIONS / EXPERIENCE:

  • Preferred college degree or a minimum of three years of experience demonstrating critical thinking and independent decision-making skills.
  • Demonstrates sound judgment in all interactions.
  • Project management experience or certification is advantageous.
  • Preferred experience in a healthcare or wellness setting.
  • Exhibits strong communication and listening skills, with the ability to articulate ideas effectively.
  • Possesses excellent problem-solving and conflict resolution abilities.
  • Proficient in various software applications, including word processing, spreadsheets, email, and database management.
  • Adaptable to technological changes and updates.
  • Capable of managing multiple tasks with varying deadlines efficiently.
  • Maintains confidentiality in all aspects of the role.
  • Ability to adapt positively to change and manage stress effectively.
  • Skilled in motivating teams to achieve positive outcomes.
  • Experience in process improvement is a plus.
  • Strong analytical and interpersonal skills are essential.
