Job Summary:

A.T. Still University (ATSU) is seeking a full-time exempt Assistant Registrar to provide support to Enrollment Services by assisting the Registrar with oversight of the ATSU academic records and processes. This position will ensure University compliance with federal, state, and institutional policies and regulations.

Key Responsibilities:

  • Monitor and maintain knowledge of numerous regulations for compliance, including but not limited to Family Educational Rights and Privacy Act (FERPA), Department of Education Title IV regulations, Department of Defense (DOD) grade reporting, VA Benefits enrollment and status reporting, Red Flag, General Data Protection Regulation (GDPR), and Higher Education Act (HEA).
  • Facilitate routine FERPA training for all University staff and faculty and ensure all students receive notifications of their FERPA rights as required by law.
  • Oversee the academic record coordinators in the day-to-day operations, including registration changes, enrollment changes, and status changes for approximately 3900 students.
  • Provide weekly enrollment status and student information reports to ATSU student health insurance provider.
  • Track all students on leave status and advise academic programs of the current ATSU leave process.
  • Lead hiring, training, and evaluation for two staff positions, Coordinator Registrar - Enrollment Services, and monitor their work flow and assignments.
  • Maintain a weekly audit of internal academic records processing.
  • Facilitate registration, grade entry, diploma orders, and census/start processes for all ATSU programs.
  • Compile class ranks and quartiles.
  • Manage grade reporting on DOD/Military portals.
  • Oversee the student file audit process and GPA calculations.
  • Perform required U.S. Department of Education Title IV Satisfactory Academic Progress (SAP) analysis and provide data to the SAP committee.
  • Assist in the absence of the Registrar-Enrollment Services with enrollment and degree reporting to the National Student Clearinghouse (NSC).
  • In partnership with the Registrar-Enrollment Services, complete the secondary review of over 1360 degree audits annually.
  • Oversee the Student Information System (SIS) student enrollment setup, including the creation of 40 unique program pathways, over 40 unique terms per semester, in collaboration with Registrar - Enrollment Services and Director Student Financial Aid - Enrollment Services.
  • Monitor state of legal residence for all incoming students in accordance with NC-Sara.
  • Attend weekly meetings with SIS vendor, Information Technology Services (ITS), and Enrollment Services leadership, which are designed to provide vendor support, troubleshooting assistance, and collaboration within and across departments.
  • Provide support for University data requests, data analysis, and verification of data.
  • Assist Registrar-Enrollment Services with annual review and update of ATSU Quick Facts page as required per accreditations.
  • Support Registrar-Enrollment Services in development of policy and maintenance of student records for the University following the ATSU Record Retention Policy.
  • Conduct research and provide benchmarking data to make recommendations for academic record management best practices.
  • As a member of the Enrollment Services leadership team, work to build relationships and partnerships with ITS, including Chief Information Security Office (CISO), ATSU program personnel, ATSU staff, outside agencies, and vendors.
  • Ongoing training and development in the areas of federal financial aid programs, academic records, FERPA, prepares and manages staff evaluations for direct report staff members, internal office professional development, and the annual ATSU Required Employee Education (REE).
  • In partnership with Student Affairs and the Enrollment Services leadership team, responsible for maintaining compliance regarding regulated content on the ATSU website (such as the Consumer Disclosures section), the Enrollment Services public web pages, the internal Enrollment Services Faculty/Staff Support Site, the ATSU University Catalog, the Enrollment Services section of the ATSU Student Handbook, the Enrollment Services Policies and Procedures Manual, the Enrollment Services Communication Plan, etc.
  • Respond to questions from Program Chairs and Deans as requested.
  • Serve as a voting member of the Title IV Professional Judgment Committee.
  • Travel to professional conferences and ATSU campuses, presenting when appropriate.

Requirements:

  • Master's degree preferred.
  • Two to three years of experience required.
  • Knowledge of ATSU, academic programs, and higher education administration.
  • Supervision and team development preferred.
  • Experience with project management.
  • Prior experience is helpful in an academic department, financial aid, or registrar's office.
  • Skilled in making oral and written presentations through various media to provide information, and instructions, and explain subjects of interest.
  • Strong analytical skills to research and analyze service offerings and make improvement recommendations with a focus on quality, taking pride in all deliverables as a reflection of yourself.
  • Possess a growth mindset and be very comfortable giving and taking direct feedback and constructive criticism.
  • Perform at an exceptional level in high-pressure situations.
