Job Overview

Position Summary:

Support the Patient Access Director in overseeing the Central Scheduling and Admissions departments, focusing on Inpatient, Outpatient, Emergency, Day Surgery, Auditors/Trainers, and Customer Service operations. Ensure staff training and achievement of performance objectives and goals. Develop and manage Associate work schedules and coordinate time off for the team.

Key Responsibilities:

  • Uphold consistency with Administrative and Departmental policies, demonstrating appropriate behavior, attire, attitude, attendance, confidentiality, professionalism, and reliability.
  • Monitor the operations of the registration area, ensuring adherence to policies and procedures for Inpatient, Outpatient, ER, and Day Surgery registrations.
  • Verify that criteria for Medicare/Medicaid, Champus, and other Third-Party Payors are met by physician orders for all outpatient, observation, and Inpatient admissions.
  • Ensure completeness and accuracy of documentation for patient medical records, including data entry in hospital computer systems or other mediums.
  • Strive to meet established goals for point-of-service (POS) collections in assigned areas.
  • Foster an environment that promotes exceptional patient satisfaction.
  • Create a workplace atmosphere that encourages high Associate satisfaction.
  • Promote an environment that enhances physician satisfaction.
  • Ensure compliance with relevant laws and regulations, maintaining confidentiality among associates and in the handling of patient information.
  • Evaluate Associate performance for recognition, coaching, training, and necessary corrections.
  • Address errors promptly and provide feedback/training to Associates for improvement.
  • Communicate timely information, expectations, and upcoming changes to Associates while seeking their input.
  • Ensure adequate staffing to meet patient needs and aim to exceed patient expectations, working within productivity guidelines.
  • Confirm timely insurance verification and precertifications to prevent denials, ensuring documentation in patient accounts.
  • Meet patient safety goals, ensuring accurate information is recorded for each account in hospital systems.
  • Continuously seek improvements to enhance department operations, patient satisfaction, and Associate satisfaction.
  • Collaborate with other supervisory Associates to build a cohesive leadership team that anticipates needs and manages functions to minimize workflow disruptions.
  • Ensure Associates have the necessary equipment and supplies to perform their duties effectively.
  • Perform various other duties as needed to achieve departmental and facility objectives.

Qualifications:

Education/Skills:

  • A Bachelor's degree or equivalent experience in healthcare leadership is required.
  • Comprehensive knowledge of Patient Access functions and requirements.
  • Proficient in hospital mainframe systems and business applications software (e.g., Microsoft Office), with strong skills in compiling, analyzing, and presenting reports.
  • Effective verbal and written communication skills.

Experience:

  • A minimum of three to five years of experience in Admitting or in a supervisory role within a hospital setting.
