Department Overview: The Alabama Water Institute (AWI) is a pivotal research entity within the University of Alabama, fostering interdisciplinary collaboration among various academic disciplines to address critical water-related challenges. The institute focuses on areas such as water security, quality, and management, engaging experts from diverse fields to innovate solutions for both local and global water issues.

Position Summary: The Event Planning Specialist will be responsible for the comprehensive management of events organized by AWI, ensuring seamless execution from conception to completion. This role involves:

  • Designing and coordinating event themes and logistics.
  • Creating and managing guest lists and invitations.
  • Selecting appropriate venues and arranging seating plans.
  • Negotiating contracts with vendors including florists, caterers, and venue staff.
  • Overseeing on-site personnel and student volunteers.
  • Developing and managing event budgets effectively.
  • Arranging transportation for attendees as needed.

Qualifications: Candidates should possess a Bachelor's degree with relevant experience in event planning or coordination; alternatively, an Associate's degree with two years of experience, or a high school diploma/GED with four years of applicable experience will be considered.

Skills Required: Strong communication and interpersonal skills, exceptional organizational abilities, and a proven track record in planning and problem-solving are essential. Leadership skills are also crucial for this role.

Preferred Experience: Experience in managing event-related programs and the ability to travel as required.
