As a Customer Service Representative (CSR), your responsibilities will include engaging with potential clients and promoting our veterinary services. You will manage appointment scheduling and facilitate the flow of clients and their pets, ensuring that our veterinary team operates efficiently. Your role will also involve providing outstanding communication to pet owners, helping them navigate their pets' care and encouraging them to return and refer others.

Key Responsibilities:

  • Maintain an understanding of the services offered by the hospital and utilize this knowledge to effectively communicate with current and prospective clients.
  • Greet clients and their pets, ensuring a welcoming atmosphere.
  • Assist new clients by documenting pet histories and relevant information using our management software.
  • Guide clients and pets through the facility to optimize care and productivity.
  • Address basic inquiries from clients both over the phone and in person, directing them to the appropriate veterinary staff as necessary.
  • Coordinate appointment scheduling and follow-up visits in collaboration with veterinarians and support staff.
  • Provide outgoing clients with necessary instructions, information, and invoices.
  • Dispense medications as directed by veterinarians and sell retail products.
  • Manage cash transactions and perform daily cash drawer reconciliations.
  • Handle customer complaints professionally and work towards satisfactory resolutions.
  • Foster a collaborative environment that promotes teamwork and high-quality care for pets.
  • Adhere to all practice policies and quality assurance standards.
  • Perform additional duties and projects as assigned.

Required Skills and Qualifications:

  • Strong customer service skills.
  • Basic understanding of medical terminology.
  • Proficiency in Microsoft Office Suite and other computer applications.
  • Effective written and verbal communication skills.
  • Excellent interpersonal skills and the ability to handle sensitive situations with tact.
  • Ability to prioritize tasks and manage multiple responsibilities simultaneously.
  • Strong organizational skills and attention to detail.

Education:

A high school diploma or GED is required.

Experience:

A minimum of one year of experience in veterinary, healthcare, or customer service is required.

Working Conditions:

This position requires frequent communication and computer use. Candidates should be prepared for physical demands such as standing for extended periods, lifting up to 30 lbs unassisted, and working flexible hours.
