KEY RESPONSIBILITIES
This position involves welcoming, guiding, and assisting patients and visitors in a professional and courteous manner throughout their visit. Responsibilities include scheduling and registering patients, ensuring accurate data collection, determining service eligibility, and advising patients on payment policies, as well as monitoring and collecting payments due. The Patient Access Specialist is also tasked with managing the waiting room atmosphere, keeping patients informed about wait times, and ensuring a clean and comfortable waiting area.
PRIMARY DUTIES
- Deliver exceptional customer service consistently.
- Manage the phone system, including answering multi-line calls, triaging patient needs, and relaying staff messages.
- Schedule appointments and confirm them as necessary.
- Verify and update patient demographics during appointment scheduling and check-in.
- Perform data entry into the PM system, including scanning and entering all required registration documents for each patient.
- Prepare charts as needed.
- Maintain financial and insurance records for all patients based on eligible programs and/or insurance coverage, ensuring the PM system is updated accordingly.
MINIMUM REQUIREMENTS
- Ability to provide excellent customer service to a diverse patient population.
- Strong verbal and written communication skills.
- Basic bookkeeping skills, including cash handling, posting charges, and managing deposits.
- Proficiency in navigating multiple software applications, including EHR, Microsoft Office, scanners, calculators, and multi-line telephones.
- Self-motivated with the ability to work independently.
PREFERRED QUALIFICATIONS
- Experience as a receptionist in a healthcare, dental, or social services environment.
- Strong bookkeeping or accounting abilities.
- Proficient in Microsoft Word and Excel.
- Bilingual skills (English/Spanish) are a plus.
