School Finance Operations Coordinator

The School Finance Operations Coordinator plays a pivotal role in managing the financial, operational, and HR functions at Mid Cape Global Academy. This position ensures seamless school compliance with company policies and protocols, working closely with the CSUSA Support Center.
Key Responsibilities- Human Resources Management:
- Creates position openings in the UltiPro HR system.
- Collaborates with the Offer Letter Specialist to initiate the offer process and distributes required documents.
- Onboards new employees by boarding them in the UltiPro HR system and works daily with the Employee Onboarding and Compliance Specialist to guarantee timely completion of all new hire paperwork.
- Supports school personnel in completing electronic Human Resources onboarding submissions, including electronic onboarding and benefit applications in the UltiPro HR system.
- Implements and monitors new hire information in UltiPro, Time & Attendance, and LaunchPad; maintains employee data in UltiPro.
- Works alongside the Principal, Finance Department, and Human Resources Department to ensure the school adheres to the approved Staffing Budget and various line items.
- Manages and maintains confidential employee and school documents.
- Payroll:
- Manages employees in self-posting PTO in the HR system.
- Ensures payroll previews presented by the Payroll Department are compliant and accurate.
- Audits payroll previews to authorize processing.
- Manages and trains employees on all required HR systems.
- Prepares school-based reports as needed by the Payroll Department.
- Oversees and approves I.T. and Facilities school-based employee hours and PTO.
- Benefits:
- Assists the Human Resources Department in formulating and executing open enrollments and other Benefit meetings.
- Manages family status changes, 401k, benefits selection, and compiles necessary paperwork.
- Handles requests, information, and documentation from employees for FMLA, Short-term and Long-term disability, and assists the Human Resources Department.
- Operations:
- Coordinates with the Director and Manager of Procurements on purchase orders and goods.
- Manages the National School lunch program at the school level, working directly with the Support Center.
- Manages the school's food and transportation services by coordinating with service providers and overseeing deliveries.
- Manages all school inventory purchased.
- Finance/Accounting:
- Manages financial records of the School in accordance with Company Policy.
- Supervises check requests, bank deposits (over $10,000), and Currency Transaction Reporting Requirements.
- Supervises delegates making deposits and accepting cash on the school's behalf.
- Forwards approved invoices to the Accounts Payable department weekly.
- Monitors and reconciles balances of School-based accounts.
- Manages collection of NSF checks in a timely manner.
- Approves expenditure invoices at the school level.
- Maintains and reconciles Petty Cash Account based on Company Policy.
- Prepares and maintains the school budget and staffing matrix with the Finance department.
- Participates in School Dashboard calls and assists the Principal with follow-up issues.
- Grants/Compliance:
- Works daily with the Education Grants Manager.
- Supervises timelines and grant draw downs.
- Attends grant trainings to prepare and administer grants at the school level.
- Supports compliance to ensure adherence at the school level.
- Risk Management:
- Ensures adherence to proper safety procedures.
- Liaisons with HR and Benefits teams regarding employee injuries.
- Processes Workers' Compensation claims electronically and assists employees seeking medical care.
- Oversees student accident claims and processes property and casualty claims.
- Information Technology:
- Supervises I.T. employees at the school level.
- Point of contact for submitting Work Tickets and processes Help Tickets.
- Ensures permits and licensing are renewed/paid and posted on time.
- Maintains an accurate inventory of school keys for administrators, teachers, and substitutes.
- Bachelor's or higher in Accounting, Finance, or related field from an accredited institution.
- At least 2+ years of experience in School Operations or Business Management, preferably in an educational environment.
- Maintain confidentiality at all times.
- Knowledge beyond basic bookkeeping, using MS Word, Excel, QuickBooks.
- Ability to work independently and make decisions according to established policies and regulations.
- Poloite, courteous, and tactful when interacting with the public and co-workers.
Estimated Salary: $62,500 - $75,000 per annum, depending on location and qualifications.
