KEY RESPONSIBILITIES:

Accounts Receivable and Billing:

  • Oversee the expiration and renewal of client subscriptions and maintenance agreements.
  • Prepare maintenance quotes as needed.
  • Generate recurring invoices for services rendered.
  • Record incoming payments via checks and wire transfers.
  • Follow up on overdue accounts receivable.
  • Create milestone invoices for sales orders.

Accounts Payable:

  • Code and process weekly shipping invoices along with other general and administrative invoices.
  • Facilitate and record wire payments.
  • Input monthly employee expense reports into the ERP system.
  • Monitor and manage payment requests.
  • Prepare weekly vendor payment runs.
  • Assist in the preparation of annual 1099 forms.

General Ledger and Financial Reporting:

  • Execute journal entries as required.
  • Participate in the month-end closing process.
  • Compile ad hoc financial reports as necessary.
  • Support tax and audit inquiries.

Annual Projects:

  • Prepare the VA Small Business Sub-Contracting Summary Report and Plan.
  • Manage registration renewals for the US and Canada.
  • Conduct physical inventory assessments.

The Staff Accountant will also undertake additional responsibilities as directed by the EVP of Finance.

MINIMUM JOB REQUIREMENTS:

  • General understanding of financial statements and reporting.
  • Strong interpersonal and communication abilities.
  • Proficient computer skills in a Microsoft Windows environment, with experience in ERP/Financial systems (Abas or similar) and Hyperion for reporting and planning preferred.
  • Demonstrated ability to maintain confidentiality.
  • Excellent organizational capabilities.
  • Ability to work independently and manage time effectively.

Education and Experience:

  • A minimum of a Bachelor's degree or equivalent in Business Administration, ideally with a focus on Accounting.
  • Three to five years of experience in an accounting role.
  • Experience in public accounting and/or accounting within a manufacturing context is preferred but not mandatory.
