Administrative Support Specialist II

This is an advanced secretarial support role that provides typing, organizational, and related support to management officials and assists associated staff members in the substantive processing of functional requirements.
Key Responsibilities- Determine the extent and efficiency of existing office procedures and workflow, and recommend changes as needed.
- Work with management, technical, and/or other clerical personnel to improve timeliness, completeness, and effectiveness of work accomplishment.
- Review incoming mail, determine priority and nature of material, and take appropriate action.
- Greets visitors and callers, determines the nature of their business, and provides information or refers them to the appropriate individual or office.
- Maintains calendars for managers and/or other assigned staff, schedules appointments and meetings, and reminds individuals of their commitments.
- Types correspondence, memoranda, reports, and other documents from recorded dictation, stenographic notes, or other sources.
- Proofreads and corrects errors in typed work.
- Composes routine correspondence and establishes and maintains office files of such materials.
- Thorough knowledge of clerical procedural and processing requirements governing records keeping, documentation, and similar office functions.
- Thorough knowledge of English usage, grammar, spelling, and punctuation as used in clerical processing assignments.
- Knowledge of administrative clerical methods and techniques used to manage and coordinate meetings, workflow, and similar functions.
- Basic knowledge of the organizational and functional relationships within the County, the Court, and related organizations.
- Ability to use word-processing, spreadsheet, database, graphics, and/or similar computer programs.
- Ability to establish and maintain effective working relationships with associates, callers, visitors, clients, and representatives of other offices and members of the public.
Education equivalent to completion of the twelfth school grade. Four to five years of clerical experience in an administrative, professional, governmental, or judicial setting, two years of which shall have been at the full performance level.
