Key Responsibilities

  • Guide customers on essential services for regular maintenance.
  • Assist in diagnosing mechanical issues through customer inquiries or visual inspections.
  • Discuss inspection findings with customers, recommend corrective actions, and prepare service orders for necessary repairs.
  • Create repair orders detailing time, costs, and labor estimates for services.
  • Document customer concerns on repair orders to aid technicians in problem identification.
  • Clarify performed services and associated charges to customers.
  • Address customer complaints effectively.
  • Coordinate service appointments.
  • Gather customer and vehicle information prior to their arrival when feasible.
  • Welcome customers promptly and collect vehicle details.
  • Conduct test drives with customers as needed to verify issues or refer to a technician.
  • Review service history, inspect vehicles, and suggest additional necessary services.
  • Advise customers on vehicle maintenance in line with manufacturer specifications.
  • Provide accurate written estimates for labor and parts.
  • Establish and communicate expected service completion times.
  • Obtain customer signatures on repair orders and provide copies.
  • Determine customer payment methods and secure credit approvals if required.
  • Notify dispatch of incoming work and monitor repair progress throughout the day.
  • Communicate any changes in estimates or timelines to customers, explaining costs and time requirements in detail.
  • Implement and uphold a service marketing strategy.
  • Review repair orders to ensure completion and proper authorization for additional work.
  • Ensure vehicles are parked in designated areas, secured, and that keys are stored appropriately.
  • Keep service department documentation, pricing guides, and menus current.
  • Establish a quality control process to minimize repeat issues.
  • Maintain high standards of customer satisfaction.
  • Handle phone inquiries regarding appointments and ongoing work.
  • Inspect vehicles for bodywork needs, informing customers and providing estimates as necessary.
  • Maintain a professional appearance and keep the work area tidy.
  • Perform other assigned tasks as needed.

Qualifications

  • High school diploma or equivalent (GED).
  • Aptitude for problem-solving, data collection, and drawing valid conclusions.
  • Ability to read and interpret safety rules, operating instructions, and procedural manuals.
  • Competence in calculating figures such as discounts, interest, and percentages.
  • Basic knowledge of algebra and geometry.
  • Strong customer service skills.
  • Excellent communication abilities.
  • Professional appearance and demeanor.
  • Willingness to undergo background checks and drug screenings prior to employment.
  • Valid driver's license with a clean driving record in accordance with company policies.
