Key Responsibilities:

  • Assist in maintaining financial records and ensuring that financial transactions are properly recorded using our accounting software.
  • Reconcile credit card accounts, collect backup paperwork, and prepare check requests for Accounts Payable.
  • Verify service invoices with programs and prepare check requests for Accounts Payable.
  • Submit orders for office supplies, coffee supplies, and program materials for review and approval.
  • Assist with the negotiation of pricing and contract terms.
  • Track orders and ensure timely delivery.
  • Review the quality of purchased products and address product defects when applicable.
  • Maintain updated records of purchased products, delivery, and invoices.
  • Enter AP relating to credit cards and service invoices into our accounting software.
  • Assist program managers, supervisors, and others with purchasing issues and questions.
  • Assist in creating and posting journal entries.
  • Assist with the annual financial statement audit.
  • Assist with tracking revenues and expenditures for assigned federal, state, and local grants and contracts.
  • Reconcile grant and contract financial reports to our financial records.
  • Assist with preparing monthly, quarterly, and annual invoices for assigned federal, state, and local grants and contracts.
  • Assist with preparing reports, statements, records, analyses, and financial compilations for regulatory agencies.
  • Track grant reporting deadlines for government and grant contributions.
  • Interact effectively and respectfully with others, particularly with individuals whose backgrounds and life experiences are different from one's own.
  • Contribute to the overall success and quality of the agency by working constructively and collaboratively with other staff members.
  • Pursue ongoing professional development through reading and attending relevant workshops and conferences.

Requirements:

  • Bachelor's Degree in Accounting, Finance, Business Administration, or a related field.
  • Strong Excel experience required.
  • 1-3 years of experience preferred.
  • Strong relationship, organizational, and detail-oriented skills are required.
