The Billing Supervisor is a key member of the Operations and Accounting team, responsible for leading the Billing team to ensure timely and accurate billing to customers. This role involves planning, analyzing, and improving billing operations to streamline the billing process across different projects.
Key Responsibilities- Lead and oversee the Billing Associates team to ensure load leveling and timely completion.
- Work directly with Management and Supervisors to present work in progress weekly reports and streamline the billing and collections process.
- Maintain and ensure maintenance of client records related to invoicing and bill payment.
- Review work of billing staff to ensure accuracy, resolving inconsistencies as needed.
- Assist Area Managers with an overview of their Revenues, WIP, Accruals, and DSO.
- Review and resolve past due accounts with customers and items needing special attention.
- Assist the Accounting Department in tracking and collecting accounts on the Aging Report weekly.
- Review and authorize Change Memos before they are sent to the Accounting Department.
- Conduct monthly staff meetings to discuss and implement new changes, billing planning, and personnel development.
- Manage multiple projects and contracts.
- Provide customer support to customers with disputes or inquiries concerning invoices or billing process.
- Coordinate with Project Managers at the award of a project to review billing terms and conditions within the contracts.
- Perform strategic planning and setting for the billing department.
- An Associate's degree in Accounting or Business is highly desirable.
- 4 years of progressive billing experience and prior supervisory responsibility.
- Excellent verbal and written communication skills.
- Construction Administration experience.
- Proficient in Microsoft Office Suite or related software, including advanced Excel and Word skills.
- BASIC understanding of collection practices and laws.
- Excellent interpersonal and supervisory skills.
- Ability to act with discretion, tact, and professionalism in all situations.
- Ability to maintain records and produce reports.
- Extreme attention to detail.
- Knowledge of accounting principles, practices, procedures, methods, and theory.
- Perform accurate computations and verification of data.
- Ability to work quickly and adaptively with various computer software.
