Key Responsibilities: The primary duties include the following activities:
  • Accounting Management
  • Ensure the accuracy of financial data by recording, verifying, consolidating, and entering transactions.
  • Prepare comprehensive reconciliations of general ledger accounts.
  • Assist with the month-end closing process.
  • Resolve discrepancies in general ledger balances as assigned.
  • Accounts Payable Management
  • Prepare and process invoices in accounting software, ensuring accuracy and timeliness.
  • Review and validate vendor statements as necessary.
  • Establish new vendor accounts in compliance with company policies.
  • Verify and process employee expense reports according to reimbursement policies.
  • Reconcile monthly payable reports to confirm payment accuracy.
  • Investigate and rectify errors and inconsistencies in financial documents and reports.
  • Maintain accurate 1099 vendor files and up-to-date W9 forms for tax reporting.
  • Prepare and execute weekly vendor payments via checks.
  • Accounts Receivable Management
  • Maintain precise and current records of all accounts receivable transactions.
  • Generate invoices and account statements for customers.
  • Post daily customer payments against outstanding invoices.
  • Research and resolve discrepancies in accounts.
  • Communicate with customers regarding overdue invoices.
  • Conduct bank and credit card reconciliations.
  • Maintain a database of customer tax exemption certificates.
  • Assist the finance team with additional ad hoc requests as needed.

  • Experienced with accounting software such as QuickBooks.
Education and Experience:
  • An Associate's or Bachelor's degree in Accounting is required.
  • Preferably seeking an energetic, outgoing individual with strong interpersonal skills capable of clear communication both orally and in writing.
Physical and Mental Demands:
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds occasionally.
  • Must be able to navigate and access various departments within the organization.
  • This position requires on-site presence, with no remote work option available.
