Job Details: Objective: To execute financial and procurement responsibilities, ensuring the acquisition of necessary supplies, materials, equipment, and services for the Molecular Biosciences department.
Key Responsibilities:
- Manage procurement tasks for the Department of Molecular Biosciences' faculty, including the processing and creation of purchase orders.
- Facilitate UT Market orders and assist laboratory personnel with procedural inquiries.
- Collect and provide financial data and information from diverse sources.
- Serve as a backup for the MBS purchasing partner.
- Resolve purchasing and receiving discrepancies and generate relevant correspondence.
- Ensure all processes are documented in accordance with applicable policies and regulations.
- Act as a liaison between the department, University Purchasing Office, Accounts Payable, Document Solutions, and vendors to meet procurement requirements.
- Support MBS Accounts Payable and Grants and Contracts staff with various financial issues, including the disencumbering of outdated purchase orders and providing necessary documentation for audits.
- Assist with the annual inventory certification for the department.
- Provide backup support for the operational team as required.
Required Qualifications:
- Bachelor's degree.
- A minimum of two years of experience in an accounting or business-related position.
- Ability to work independently with sensitive information while maintaining professionalism.
- Excellent organizational and time-management skills.
- Regular and punctual attendance.
- Experience in delivering effective customer service in person and via phone.
- Strong communication skills with various internal and external stakeholders.
- Demonstrated problem-solving abilities.
- Proficient in MS Office, Adobe Acrobat, and internet-based purchasing functions.
Preferred Qualifications:
- Bachelor's degree in accounting or a related business field.
- Three or more years of relevant financial experience.
- Familiarity with DEFINE, FMRS, UT Market, PointPlus, and Workday.
- Knowledge of university procurement and payment policies.
- Ability to manage multiple tasks and meet deadlines.
- Experience in a university setting.
Salary Range: $55,000+ based on qualifications
Working Conditions: Standard office environment.
Work Shift: Flexible hours between 7 AM - 6 PM, Monday - Friday.
