Job Title: Scheduling Coordinator & Receptionist
We are seeking a highly organized and customer-focused individual to join our team as a Scheduling Coordinator & Receptionist. This dynamic role requires excellent communication skills, problem-solving abilities, and attention to detail. As a key member of our front desk team, you will be responsible for scheduling service calls, managing technician routes, responding to customer inquiries, creating correspondence, and providing general administrative support.
Key Responsibilities:
- Scheduling Operations: Assist the service department in scheduling service calls, daily recurring technician routes, and manage calendars.
- Customer Service: Provide exceptional customer service through front desk reception duties, including answering multi-line phone systems and greeting walk-in customers and staff.
- Administrative Support: Maintain technician schedules daily, type correspondences, organize files electronically, establish and maintain filing systems, and assist office staff on projects as needed.
- Billing Information: Help facilitate billing information on assigned jobs and update and maintain calendars.
- General Office Tasks: Perform miscellaneous office tasks such as photocopying, faxing, and filing.
- Team Collaboration: Communicate effectively with customers and staff members to ensure maximum efficiency and follow up on concerns as appropriate.
Requirements:

- Problem-Solving Abilities: Capacity to identify and resolve scheduling conflicts and challenges.
- Customer Service Orientation: Friendly and professional demeanor when interacting with visitors and colleagues.

- Attention to Detail: Accuracy in handling administrative tasks and relaying messages.
- Tech Proficiency: Proficiency in Microsoft Office Suite and basic office equipment operation.
- Reliability: Punctuality and dependability are essential for this role.
- Team Player: Willingness to collaborate with colleagues and contribute to a positive work environment.
- Previous Experience: Prior experience in scheduling, administrative support, receptionist roles, or customer service positions is preferred.
- Education: A high school diploma or equivalent qualification is required; additional education or training in office administration is advantageous.
