Job Title:

Overview: The Chief Facilities Officer is tasked with overseeing the upkeep and functionality of the organization's physical assets, spearheading emergency preparedness initiatives, and managing the facility rental operations.

This role is integral to the senior management team, providing support for various special projects across departments.

Key Responsibilities:

  • Supervise and coordinate the performance of outsourced maintenance service providers, including landscaping, cleaning, HVAC systems, electrical work, plumbing, fire safety systems, alarm systems, elevator servicing, roofing, pest management, and more.
  • Monitor and evaluate the work of external contractors to ensure compliance with contractual obligations and satisfactory completion of tasks.
  • Engage in hands-on maintenance activities alongside the Operations Assistant, such as painting, exhibit setup, lighting adjustments, general repairs, and gardening.
  • Manage service agreements with parking lot operators to meet revenue objectives.
  • Collaborate with facility rental and preferred catering service providers to optimize revenue outcomes.
  • Work closely with IT Operations Contractors to maintain and manage the Local Area Network, servers, workstations, and database applications utilized by various departments.
  • Participate in the formulation and management of the grounds and building maintenance budget; oversee resource allocation post-budget approval; recommend expenditure approvals.
  • Facilitate the involvement of the Board of Facilities Committee in discussions with architects and the ongoing implementation of the campus Master Plan.
  • Ensure adherence to security and safety protocols, including training new hires on security procedures, managing security codes and key distribution, and preparing facilities for varying weather conditions.

Qualifications:

  • 3-5 years of experience in facilities management; experience in museum settings is a plus but not mandatory.
  • Strong office management capabilities, including planning, organization, and proficiency in computer systems; ability to motivate and communicate effectively with a diverse range of tradespeople.
  • Excellent verbal and written communication skills; ability to work collaboratively within a team to achieve shared goals and objectives; capacity to work independently without direct oversight; adept at managing multiple priorities and meeting deadlines.

Physical Requirements:

  • Ability to work at a desk, conference table, or in various meeting configurations.
  • Ability to stand and sit for extended periods.
  • Ability to bend, twist, lift, and carry up to 50 pounds.
  • Ability to operate office equipment and reach in all directions.
  • Ability to climb ladders.
