Objective

The primary role of this position is to assist customers with inquiries related to their accounts, ensuring that all interactions are handled in a prompt, courteous, and efficient manner. This role also involves supporting various clerical tasks that facilitate the operations of other departments, such as managing invoice distribution and personal property tax submissions.
Responsibilities
  • Address customer inquiries and concerns to effectively resolve any issues.
  • Provide customers with relevant information regarding their accounts.
  • Maintain a tidy and organized workspace.
  • Gather credit reports for new clientele.
  • Contact trade references for verification of new customers.
  • Coordinate the delivery of credit documentation to the Manager for new account evaluations.
  • Input and scan documents, monitor, and assist in both the initiation of new accounts and the upkeep of existing ones.
  • Retrieve historical data and information concerning current and previous customers.
  • Support the Manager in the timely establishment of new accounts and relay account status updates to branches and sales teams.
  • Input Certificates of Insurance into the system and verify their accuracy.
  • Assist the IT department with the distribution of multi-page invoices and invoices for multiple customers.
  • Help colleagues in the department with inquiries related to historical transactions in customer accounts, particularly soon after monthly statements are dispatched.
  • Identify the necessity for COD accounts and communicate these requirements to the Manager.
  • Prepare, stuff, and send out monthly customer statements.
Qualifications
  • Knowledge and skills typically gained through a high school education with relevant technical training.
  • A minimum of 2 years of experience in a full-time Customer Service Representative role.
  • Strong interpersonal skills and the ability to collaborate effectively within a team.
  • Exceptional customer service abilities.
  • Excellent communication skills, demonstrating a high level of tact, diplomacy, and discretion.
  • Outstanding organizational capabilities.
  • Must exhibit a friendly, professional, and knowledgeable demeanor to customers in a timely manner.
  • Must respond to all customer and internal inquiries promptly.
  • Ability to quickly acquire knowledge of general Accounts Receivable and Accounts Payable processes, as well as the parameters and procedures for open accounts, including credit reports, guarantees, corporate practices, sales tax exemptions, insurance requirements, ACCORD forms, and other basic business transactions.
