Position Title: Accounts Receivable Clerk

Overview: We are seeking a dedicated Accounts Receivable Clerk to join our team. This role is crucial in ensuring timely payments from clients, contributing to the financial health of our organization.

Role Summary: The Accounts Receivable Clerk will play a vital role in managing customer payments and maintaining accurate financial records.

Key Responsibilities:

  • Maintain and update financial databases to ensure accuracy.
  • Engage with clients to request and arrange payments.
  • Accurately record payments in the financial system.
  • Generate reports and balance sheets to track profits and losses.
  • Update customer accounts based on received payments.
  • Identify and follow up on overdue accounts.
  • Communicate effectively with clients to understand their financial needs.
  • Perform basic administrative tasks as required.
  • Prepare and process all financial transactions related to accounts receivable.
  • Create and submit invoices in accordance with company standards.
  • Maintain and update customer files, including any changes in information.
  • Draft correspondence for overdue accounts and manage collections.
  • Conduct research on customer discrepancies and overdue amounts.
  • Reconcile accounts receivable periodically.
  • Assist in generating monthly billing statements.
  • Support the reconciliation of revenue accounts monthly.
  • Organize and manage documentation for accounts receivable.
  • Relay updates to relevant team members.
  • Perform additional duties as assigned.

Required Qualifications:

The ideal candidate should have experience in one of the following sectors: HVAC, Electrical or Mechanical Engineering, or Construction.

Essential skills include:

  • Excellent verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite and other accounting software.
  • Ability to work independently in a dynamic environment.
  • Strong organizational skills and attention to detail.
  • Moderate to advanced experience with QuickBooks.
