Job Summary:

The Division Admin Assistant will provide administrative support to the Maintenance team, ensuring accurate records and efficient filing systems. This role requires strong organizational skills, attention to detail, and excellent communication abilities.

Key Responsibilities:

  • Input requisitions in JDE for Maintenance, Operations, and Loss Prevention Divisions.
  • Maintain files of all requisitions and purchase orders for these divisions.
  • Process invoices and payroll for Maintenance Division.
  • Obtain authorization to pay from managers.
  • Work with Human Resources to ensure open positions are posted correctly.
  • Interview potential hires and select new seasonal hires for crews.
  • Handle all paperwork on seasonal associates, including training records, transfers, and terminations.
  • Assist with planning, setup, and execution of division activities, including Maintenance Appreciation Week and Pop-up day of events.
  • Complete weekly uptime reporting for General Manager.

Requirements:

  • High school diploma, GED, or equivalent.
  • Must be at least 18 years of age.
  • Obtain Notary Certification within 1st year of employment.
  • Ability to demonstrate excellent computer skills with emphasis on Microsoft Word and Microsoft Excel.
  • Ability to demonstrate excellent communication skills, both verbal and written.
  • Ability to communicate with all levels of associates, vendors, and government agencies in a professional manner.
