Job Overview

We are seeking a highly skilled Family Programs Administrator to support our team in delivering essential services to individuals and families in need.

The successful candidate will possess excellent administrative skills, strong communication abilities, and a deep understanding of the complexities surrounding homelessness.

About the Role

This is a full-time position responsible for supporting Family Programs, specifically those funded through the Emergency Assistance (EA) program.

You will be working closely with our Director of Family Programs to ensure the smooth operation of our programs, maintaining accurate records, and communicating effectively with external vendors and stakeholders.

Key Responsibilities
  • Housing Inventory Management: Establish and maintain a comprehensive housing inventory list to support various department programs.
  • Inspection Scheduling: Coordinate and manage an inspection calendar for our facilities team, ensuring timely and efficient scheduling.
  • Data Quality Control: Assist with preparing for audits and program reviews by reviewing data quality, providing logistical support, and completing administrative tasks.
  • Donor Coordination: Collaborate with donors to arrange pickups and drop-offs, including monthly food deliveries and holiday donations.
  • Reporting Calendar: Create and manage a reporting schedule for the department, ensuring timely submission of reports for all programs.
  • Vendor Communication: Establish and maintain relationships with external vendors, including property owners, suppliers, and other stakeholders.
  • Log Maintenance: Regularly update and maintain the family shelter log and program van calendar.
Requirements
  • Empathy and Professionalism: Demonstrate a high level of empathy for individuals experiencing homelessness and maintain professionalism in all interactions.
  • Communication Skills: Articulate complex information clearly and concisely, both verbally and in writing.
  • Record-Keeping: Maintain accurate and up-to-date records, including data entry and case file updates.
  • Job Knowledge: Possess a solid understanding of program operations, policies, and procedures.
  • Attendance and Reliability: Consistently meet deadlines and follow through on commitments.
  • Initiative and Adherence to Policy: Take initiative to complete tasks and adhere to safety and workplace expectations.
Benefits

Father Bill's & MainSpring offers a competitive salary range of $$55,000 - $65,000 per annum, depending on experience.
