Job Overview

Position Title: Portfolio Asset Supervisor

Summary

The Portfolio Asset Supervisor (PAS) is tasked with overseeing a diverse collection of approximately 40 properties, acting as the primary liaison for investors and financial institutions associated with the portfolio. This collection encompasses various property types and financing structures, including several public housing units. The PAS represents the property owner and is accountable for ensuring the long-term financial viability of the properties aligns with the standards set by BRIDGE, as well as the expectations of owners and lenders.

The PAS collaborates closely with multiple cross-functional teams dedicated to maintaining the financial integrity of the portfolio. This includes working alongside Property Management teams, site staff, Accounting, Legal, Insurance, and Development departments. The role also involves extensive interaction with BRIDGE's external consultants, regulatory bodies, lenders, and investors.

Key Responsibilities

General Duties

  • Develop and sustain comprehensive asset management strategies for each property within the assigned portfolio.
  • Collaborate with Development and Property Management to formulate precise pro forma and long-term strategic plans for new acquisitions.
  • Conduct portfolio evaluations and generate summary reports to identify issues affecting the financial and physical health of the assets.
  • Ensure that properties achieve financial objectives as outlined in all agreements and regulatory requirements.
  • Review all reporting obligations to investors and lenders.
  • Investigate partnership agreements, financing documents, regulatory compliance, tax filings, and other relevant documents to identify constraints affecting long-term goals.
  • Perform site inspections, assess property conditions, and develop corrective measures as necessary.
  • Examine all governing documents for both new and existing properties.
  • Work collaboratively to address cash-flow challenges and long-term capital requirements, including negotiations with investors and lenders to access existing reserves or secure additional financing.
  • Oversee commercial spaces within properties and collaborate with brokers to market and negotiate leases with potential tenants.

Financial Oversight

  • Analyze property plans to ensure that surplus cash aligns with long-term corporate cash flow objectives.
  • Manage the annual budgeting process for the assigned portfolio and propose solutions to cash-flow challenges.
  • Monitor portfolio performance to ensure alignment with budgetary expectations and that variance explanations meet BRIDGE and investor/lender standards.
  • Review audits to ensure timely and accurate surplus distributions.
  • Ensure properties transitioning into operations meet financial performance expectations as per the pro forma.

Relationship Management

  • Establish and nurture productive relationships with lenders and investors as the primary contact for the assigned portfolio.
  • Negotiate with partners and lenders as necessary to amend agreements.
  • Facilitate approval processes with lenders and investors as required.
  • Organize and lead meetings to review portfolio performance with investors, lenders, and internal teams, including coordinating on-site property visits.
  • Prepare annual reports for the Board regarding single-purpose entities and projects involving external partners.
  • Coordinate responses to inquiries from investors and lenders regarding the assigned portfolio.

Physical Planning

  • Review long-term capital strategies for properties within the assigned portfolio, suggesting modifications to the Portfolio Rehabilitation Manager when necessary, managing reserve funds to meet long-term cash needs, identifying properties requiring external funding, and ensuring major projects remain on schedule.

Qualifications

  • A minimum of three years of experience in real estate or finance, with a focus on financial analysis of large portfolios.
  • Bachelor's Degree in Finance, Business Administration, Accounting, or a related field.
  • Experience in at least four of the following areas: non-profit affordable housing, debt refinancing, HUD regulatory programs, real estate accounting, financial analysis, property management, or project development.
  • Proficiency in Excel and Word.
  • Ability to manage multiple tasks and adapt to shifting priorities in a dynamic and collaborative environment.
  • Strong presentation skills, with the ability to communicate effectively in front of large groups.
  • Capability to prepare financial feasibility analyses and strategic plans, conduct research, and draft narrative reports and proposals.
  • Excellent analytical and accounting skills.
  • Strong written and verbal communication abilities.
  • Sound business and financial judgment.
  • Ability to work effectively with all levels of staff across various departments, external financial professionals, and public officials.
  • Experience with, or a strong interest in, non-profit organizations and the mission of BRIDGE Housing.
  • Capacity to provide daily support for the assigned portfolio with minimal supervision.
