Job Overview

Position Summary

This role is essential for managing customer interactions and documentation related to international shipping operations.

Key ResponsibilitiesDocumentation & Customer Service

· Deliver exceptional customer service through effective communication via phone and email, respecting cultural and business norms.

· Enter shipping information into the Freight Master 2000 system.

· Coordinate bookings with ocean and air carriers, as well as trucking services for Ocean Imports.

· Verify transportation and delivery schedules with trucking companies managing customer shipments, and communicate updates to clients.

· Process payments for container pickups at the port using the Pier Pass system, ensuring follow-up on transactions and refunds for non-peak pickups.

· Organize customs clearance processes for incoming shipments.

· Send shipping notifications to relevant parties via fax and email.

· Generate and distribute Arrival Notices to consignees or their representatives.

· Arrange inland transportation as required; monitor shipment statuses and relay information to customers.

· Collect commercial invoices and arrival notices from shipping lines and prepare necessary documentation for customs brokers.

· Collaborate with the Accounting Manager to expedite payment processing for freight bills.

Administrative Duties

· Prepare billing invoices and send them along with required documentation to billing parties.

· Create Profit & Loss statements for each shipment for monthly accounting reviews.

· Engage with customers regarding outstanding invoices and reconciliation matters.

· Compile materials from records for report preparation and respond to inquiries.

· Handle incoming calls and address inquiries appropriately.

· Maintain organized client files with documents received from international partners.

· Provide assistance to colleagues with various tasks, including accounting support and information gathering.

· Answer phones and direct calls to the appropriate personnel or take messages as needed.

Additional Responsibilities

· Pursue continuous improvement in work processes for efficiency and cost-effectiveness.

· Undertake special projects and other duties as assigned by management.

· Ensure completion of all assigned tasks and maintain high ethical standards in the workplace.

· Report any irregularities or issues to supervisors for resolution.

· Foster good communication with supervisors, colleagues, and external contacts.

· Adhere to all company policies and maintain a clean and safe work environment.

Qualifications
  • High School Diploma or equivalent.
  • 1-3 years of relevant experience in the import/export sector.
  • Proficiency in Windows and MS Office applications.
  • Experience with CargoWise is preferred.
