Position Overview

We are looking for a meticulous and proactive Financial Operations Specialist to enhance our esteemed law firm's financial management. This role is crucial for overseeing financial transactions and operations, ensuring effective cash flow management, authorizing wire transfers, and collaborating closely with external accountants. The successful candidate will demonstrate exceptional organizational skills, a strong attention to detail, and the ability to excel in a fast-paced legal setting.


Key Responsibilities:

  • Oversee daily cash flow operations, including balance monitoring, initiating transfers, and ensuring adequate funds are available.
  • Assist in the daily and monthly reconciliation of bank deposits and transactions to guarantee accuracy.
  • Process incoming payments from clients, encompassing checks, credit card transactions, wire transfers, and ACH payments.
  • Verify and reconcile payment amounts against invoices or billing statements.
  • Review and authorize wire transfer requests, ensuring precision and adherence to firm policies.
  • Work closely with the firm's external accountant to supply necessary financial data and support for month-end and year-end closing activities.
  • Assist in budget formulation and oversight, tracking expenditures, and identifying cost-saving measures.
  • Prepare financial reports and analyses for management, emphasizing key financial metrics and trends.
  • Maintain precise financial records and documentation, ensuring compliance with accounting standards and legal regulations.
  • Collaborate with the finance team and other departments to enhance financial operations and boost efficiency.
  • Stay updated on industry trends, best practices, and regulatory changes related to financial management and reporting.

Qualifications:

  • Bachelor's degree in Finance, Accounting, Business Administration, or a related field.
  • Minimum of 2 years of experience in financial operations, preferably within a law firm or professional services context.
  • Strong grasp of cash flow management principles and practices.
  • Proficiency in financial software and systems; experience with Quickbooks is advantageous.
  • Excellent analytical abilities with a strong attention to detail.
  • Ability to prioritize tasks and manage time effectively in a deadline-oriented environment.
  • Strong communication skills, both verbal and written, with the capacity to interact professionally with clients and internal stakeholders.
  • Proactive problem-solving abilities and a commitment to continuous improvement.
