POSITION SUMMARY:

The ideal candidate for the After School Program Coordinator role is deeply committed to Ingenium Schools' mission and vision, demonstrating this commitment through proactive leadership, thoughtful reflection, diligent execution, and collaborative efforts to enhance school culture and operational initiatives, ensuring success for both students and staff.


KEY RESPONSIBILITIES:

Administrative Duties

  • Oversee after school office functions, ensuring that operations and procedures are well-organized, communications are timely, and filing systems are effectively maintained.
  • Implement and uphold procedures that comply with laws regarding student and staff confidentiality and privacy rights.
  • Supervise classified employee hours, ensuring accurate tracking and compliance with relevant labor laws.
  • Coordinate meetings with the principal and other leadership to ensure adequate support and compliance for students and staff.
  • Train and supervise after school staff, ensuring they have access to established systems and procedures.
  • Manage relationships with external vendors for special events and services as necessary.
  • If bilingual, assist with academic translations and interpretations.

Operational Responsibilities

  • Actively participate in and prepare for all mandatory meetings, retreats, and training sessions.
  • Monitor and report key performance indicators to the principal.
  • Oversee the maintenance, storage, and security of student files, ensuring accurate data entry and attendance tracking.
  • Participate in the hiring, evaluation, and supervision of classified staff.
  • Manage school-wide financial systems, including petty cash and purchase orders.
  • Ensure effective systems for securing substitute coverage.
  • Address daily site and school emergency issues while maintaining a positive learning environment.
  • Develop and train staff on emergency protocols and health/safety plans.

Community Engagement

  • Provide excellent customer service to parents, students, and visitors.
  • Oversee after school communication systems, including newsletters and correspondence.
  • Engage in the creation and facilitation of after school enrollment systems and marketing initiatives.
  • Coordinate after school events, including orientations and conferences.
  • Implement behavior support systems aligned with Ingenium Schools' philosophy.
  • Monitor student behavior and conduct follow-ups with parents as necessary.
  • Support initiatives that promote a safe and healthy school culture.

Student Support and Engagement

  • Oversee student field trips, ensuring safety and liability considerations are addressed.
  • Implement and enforce policies related to student behavior support.
  • Address and document complaints involving student behavior.
  • Conduct parent conferences regarding behavior and attendance issues.
  • Develop student mediation and conflict resolution programs.
  • Ensure the safety and well-being of all students.

Academic Success

  • Monitor student attendance and develop systems to improve average daily attendance.
  • Ensure adequate participation in academic enrichment activities.
  • Support the goals of the School Improvement Plan.
  • Maintain a folder tracking after-school learning goals and progress.

Additional Duties

  • Demonstrate knowledge of Ingenium Schools' mission, values, and policies.
  • Attend professional development and leadership meetings as required.
  • Provide coaching and support for classified staff.
  • Perform other duties as assigned.

QUALIFICATIONS:

Education/Experience:

  • B.A./B.S. degree preferred.
  • 2-3 years of management experience and 3+ years of customer service experience preferred.

Knowledge/Abilities:

  • Bilingual in Spanish preferred.
  • Proficient in Microsoft Office Suite and project management software.
  • Strong problem-solving and judgment skills.
  • Excellent communication skills, both oral and written.
  • Ability to work effectively with diverse populations.
  • Strong organizational skills and a positive attitude.

PHYSICAL REQUIREMENTS:

  • Ability to lift 40 pounds using proper technique.
  • Visual and auditory capabilities to interact with the public and review documents.
  • Ability to sit or stand for extended periods.
  • Dexterity to operate a computer and document information throughout the day.
