Job Summary

The United States Space Foundation is seeking a highly motivated and organized Philanthropy Coordinator to support the Philanthropic Department in all areas. This role involves juggling various projects simultaneously, maintaining a clear view of how each project supports the organization's mission, and providing administrative and programmatic support in all fundraising activities.

Key Responsibilities:

  • Manage multiple projects concurrently, ensuring timely completion and alignment with the organization's mission.
  • Develop and maintain positive relationships with internal stakeholders to ensure an integrated approach to achieving objectives.
  • Represent the Space Foundation at functions, requiring flexibility in work schedule, including weekdays, weekends, evenings, and occasional late nights.
  • Provide general administrative support, including scheduling appointments, maintaining calendars, taking notes and messages, word processing, proofreading documents, faxing, copying, filing, broadcasting emails, and tracking programs and schedules.
  • Prepare various contracts, agreements, grant proposals, applications, forms, and other documents based on instructions and information provided by the Philanthropy Department.
  • Prepare correspondence and carry out periodic mailings, including merging documents, preparing labels and/or envelopes, packaging, and posting.
  • Process donations and prepare acknowledgement letters and other correspondence.
  • Maintain thorough and accurate database records and create monthly fundraising reports and other database reports and queries as needed.
  • Conduct research on prospective corporate, foundation, and individual donors and maintain a system for tracking donors and prospects.
  • Coordinate the production and mailing of appeal letters and other campaigns as directed by the Philanthropy Department.
  • Conduct grant research, maintain grant tracking of usage and reporting, and assist with grant writing.

Requirements:

  • Bachelor's degree or relevant equivalent experience.
  • 1-3 years of related experience, preferably in a nonprofit setting.
  • Ability to successfully manage different projects concurrently.
  • Excellent written and verbal communication skills.
  • Highly detail-oriented and exceptional organizational skills.
  • Ability to work effectively independently and as part of a team.
  • Must respect and maintain confidentiality.
  • Apply initiative, creativity, and sound judgment to appropriate situations.
  • Proficient in Microsoft Office, including Word, Excel, and PowerPoint.
  • Prior experience working with a nonprofit CRM required (HubSpot a plus).
  • Experience in prospecting research tools such as RelSci and Foundation Directory Online.
  • Confident in corresponding, interacting, receiving detailed instructions, and/or communicating via email, telephone, and in person.
  • Ability to take initiative, ask clarifying questions when needed, and carry out responsibilities of the position independently when supervisors are out of the office.
