Position Overview:
The Intake Coordinator plays a crucial role in creating a welcoming atmosphere at the facility's front desk. This position involves managing phone inquiries, addressing service requests, and documenting all call interactions. The Coordinator is responsible for answering questions about facility services, performing pre-registration tasks, verifying insurance coverage, and liaising with insurance providers. Additionally, the role includes facilitating assessments and intakes for appropriate facility services, while providing essential administrative support to the admissions department, ensuring high-quality service for clients and their families.

Key Responsibilities:
  • Conduct pre-admission evaluations and complete necessary admission pre-certifications.
  • Engage with clients, family members, and relevant sources to ensure compliance with intake criteria, reviewing potential admissions against established guidelines.
  • Lead discussions with referral sources to support clients, resolve conflicts, and foster business relationships with other healthcare professionals.
  • Respond to the needs of referred clients promptly and effectively.
  • Assess family requirements for mediation, sober escort, and intervention, determining the most suitable professional resources based on gathered information.
  • Recommend appropriate Interventionists and facilities, including scheduling and travel arrangements.
  • Collaborate with various departments and external partners to ensure timely client admissions.
  • Maintain comprehensive documentation of all activities, contacts, appointments, and events in the designated Customer Relationship Management system, ensuring thorough records of the admissions process.
  • Perform insurance verifications for all clients in accordance with established guidelines for private insurance admissions.
  • Screen calls from referrals and coordinate transportation for admissions.
  • Manage a waiting list for admissions, maintaining communication with potential candidates to facilitate their entry into the program.
  • Welcome and assist clients, visitors, and staff at the front office, overseeing lobby traffic and incidents.
  • Education: High School Diploma or equivalent required; a Bachelor's Degree in social work, psychology, counseling, or a related field is preferred.
  • Experience: A minimum of one year in healthcare admissions is required, preferably within the mental health or substance abuse sectors.
  • Skills: Proficiency in client assessment, referral processes, treatment planning, and communication with external review organizations or similar entities.
  • Knowledge of community resources is essential.
  • Exceptional interpersonal, interviewing, and assessment skills are required, along with telephone etiquette and paging procedures.
  • Certifications: CPR and de-escalation and restraint certification are required (training provided upon hire).
  • First aid certification may be necessary based on state or facility requirements.
