Position Summary:
The Guest Services Coordinator plays a vital role in representing our company. This position involves managing the company switchboard, welcoming visitors, and assisting potential new hires with job application processes. Responsibilities also include sorting incoming mail for the Accounting Department and verifying invoices for accuracy. Additionally, this role entails scheduling conference rooms and reporting any security concerns.

Education:
  • High School Diploma

Experience / Qualifications:
  • Proficiency in Microsoft Word and Excel is advantageous.

Skills / Abilities:
  • A friendly demeanor and the ability to manage stressful situations effectively.

Physical Demands:
  • Good physical and mental health, sound judgment, and high moral standards are essential.
  • A genuine desire to work with individuals from diverse backgrounds.

Duties and Responsibilities:
  1. Operate the switchboard, ensuring all incoming calls are answered promptly.
  2. Welcome visitors and ensure they complete the sign-in process for security purposes.
  3. Review customer invoices for accuracy before distribution.
  4. Check proformas against purchase orders to identify pricing discrepancies.
  5. Prepare and process invoices received by mail for the Accounting Department.
  6. Schedule meetings, conference rooms, and company vehicles using Excel.
  7. Adhere to established procedures for front desk security and continue training as required.
  8. Assist in the distribution and completion of job applications.
  9. Perform additional duties as assigned.
  10. Maintain a commitment to food safety and report any issues to a supervisor.

Working Conditions:
  • Well-lit environment with high foot traffic.
  • Ability to walk, sit, and stand intermittently throughout the workday.

Visual and Auditory Demands:
  • Good auditory and visual abilities are necessary, along with the capacity to manage frequent interruptions.
