Job Overview
The Patient Access Coordinator for Rehabilitation Services embodies the mission, vision, and values of Northwestern Medicine, adhering to the organization's Code of Ethics and Corporate Compliance Program, while complying with all relevant policies, procedures, guidelines, and regulatory standards.
Key Responsibilities:
- Serve as the initial point of contact for the department, welcoming staff and clients courteously, and directing inquiries to the appropriate personnel.
- Manage incoming telephone calls with professionalism, ensuring clear communication of messages to all team members.
- Exhibit a customer-oriented approach, effectively engaging with all levels of staff and clientele.
- Take on special projects as assigned.
- Utilize critical thinking to prioritize tasks and adapt to the dynamic needs of the department.
- Oversee clerical duties in collaboration with senior staff, clinical coordinators, and management.
- Assist in processing departmental invoices and purchase requests as needed.
- Maintain adequate supply levels for the department.
- Independently manage the Department Appointment Report (DAR) in the electronic health record system.
- Schedule, confirm, and reschedule patient appointments for Rehabilitation Services and its satellite locations.
- Ensure compliance with departmental requirements, including the completion of necessary documentation and coordination with other departments.
- Efficiently manage new evaluations, follow-up appointments, cancellations, and waitlists.
- Facilitate patient check-in processes to streamline workflow.
- Complete end-of-day processing in accordance with policy.
- Adhere to scheduling guidelines for new patient evaluations to optimize therapist productivity.
- Collect payments and ensure accurate documentation in line with current standards.
- Conduct daily reconciliation and balancing as required.
- Manage therapists' monthly schedules and templates.
- Schedule meetings and team huddles as requested.
- Coordinate with senior staff to appropriately block scheduled time off.
- Conduct confirmation calls for new evaluations the day prior to appointments and prepare necessary documentation.
- Process orders and evaluate requests as necessary.
- Consult with technicians for interpretative needs when appropriate.
- Assist patients in obtaining orders not available in the electronic system.
- Possess a thorough understanding of the scanning process, ensuring accurate indexing of clinical documents.
- Monitor and maintain authorization for visits not previously authorized.
- Assist in clinic setup and cleanup as needed.
- Collaborate with senior staff to monitor charges and independently address pending items.
- Manage faxing of documentation to insurance companies and physician offices for necessary authorizations.
- Work with relevant departments to ensure accurate registration for timely billing and management of patient accounts.
Qualifications
Required:
- Minimum of two years' experience in a front office setting with computer proficiency
- High School diploma or equivalent
- Successful completion of training for scheduling and registration in the electronic health record system
