Key Responsibilities:

  • Validate invoices, ensuring a three-way match and securing necessary approvals.
  • Assign invoices to the correct General Ledger accounts.
  • Support procurement teams with invoice reconciliations.
  • Facilitate check runs and ACH transactions, obtaining necessary authorizations as per the approval matrix.
  • Match check copies to invoices for documentation purposes.
  • Engage with vendors to resolve issues related to late payments or discrepancies.
  • Oversee vendor accounts for credit updates, address modifications, and onboarding of new vendors.
  • Review bank positive pay reports.
  • Generate reports for un-invoiced receipts and collaborate with buyers for resolution or invoice collection.
  • Assist the Accounting Manager in the preparation of 1099 forms.
  • Gather, batch, and process cash receipts from drivers (COD payments).
  • Count and manage Cash on Delivery (COD) payments securely.
  • Reconcile COD payments.
  • Open, batch, and record street mail payments.
  • Input Lockbox and customer payments into the accounting system.
  • Process weekly customer ACH debit transactions.
  • Retrieve remittances for customers utilizing EFT payments.
  • Clarify remittance details on customer accounts via communication.
  • Collaborate with the collections team and other departments to address payment discrepancies.

Qualifications and Skills:

  • Minimum of a two-year degree in accounting or equivalent experience.
  • Strong proficiency in Microsoft Office, especially Excel, and familiarity with common email systems.
  • Possession of valid identification or driver's license (if applicable).
  • Excellent organizational skills with the ability to prioritize tasks effectively.
  • Highly resourceful and adaptable.
  • Strong listening and communication skills.
  • Meticulous attention to detail.
  • Effective problem-solving abilities.
