Job Summary

This position is located at the Unaccompanied Housing operation at Joint Base Pearl Harbor-Hickam, HI. The incumbent will manage daily warehouse operations to include the accuracy and accountability of the Furniture, Fixture and Equipment (FF&E) inventory for a 200+ room lodging program.

Key Responsibilities
  • Operate professional warehousing and storage facilities, directing the operations of the warehouse, maintaining accurate stock levels and inventory adjustments, and receipt/record control for all equipment and supplies.
  • Manage the accuracy of the Furniture, Fixture and Equipment (FF&E) inventory for the lodging operation.
  • Establish and revise warehouse stock replenishment of recurring and non-recurring authorized NAF and APF inventory for the lodging operation.
  • Recognize requirements, establish and adjust replenishment levels to keep stock position current.
  • Select applicable procedures and formulas in establishing levels for non-recurring items, items not stocked previously and locally procured items.
  • Receive deliveries and review receiving inspection reports.
  • Identify discrepancies related to quantities, substitutes, incomplete shipments, or non-compliance with purchase order requirements.
  • Determine acceptance/non-acceptance of shipments not meeting requirements.
  • Conduct investigation of inventory discrepancies and research source data tracking transactions through previous actions to resolve errors and adjust book inventory accordingly.
  • Perform internal management control vulnerability studies and reviews to develop controls to prevent losses and implement cost saving measures.
  • Process planned inventory requirements and manage all cyclical inventory processes.
  • Prepare reports for higher authority and analyze, evaluate and implement instructions and notices from higher authority.
  • Process declared excess and damaged property for disposal.
  • Coordinate the use of forklifts, trucks and personnel for proper disposal of government property according to established policies.
  • Accurately document the loss to computer files and maintain files for Audit Trails.
  • Maintain accountabilities for all assigned FF&E.
  • Ensure all changes, replacements or transfers of FF&E are completed properly.
  • Process documentation for all FF&E and ensure all information is entered into the required database electronically.
  • Schedule and oversee the performance of all regularly scheduled and unscheduled FF&E Inventories monthly and annually.
  • Ensure all discrepancies are investigated, notated and corrected.
  • Supervise one or more inventory supply clerks and/or laborers, approve leave, conduct counseling and evaluations, and recommend personnel actions to supervisor.
  • Ensure subordinates are fully aware of and comply with appropriate personnel, safety and environmental laws and regulations.
Requirements
  • Knowledge of supply and inventory procedures, techniques, and operations gained through either formal education or two years' work experience related to inventory management is required.
  • Must understand and demonstrate a thorough knowledge of purchasing procedures, computerized record keeping and inventory management and have a good working knowledge of basic accounting.
  • Must possess excellent communication skills and must possess fluent command of the English language, understand and use proper grammar, and be able to communicate clearly and effectively, to all levels of the organization, both verbally and in writing.
  • Must be able to use basic computer software such as Microsoft Word, Excel and Power Point and have a working knowledge of the property management system.
  • Must understand the daily operation of a hotel to include safety, environmental and fire prevention regulations and practices, hotel management procedures, and front desk, housekeeping, and maintenance operating principles and practices, and have a working knowledge of automated inventory management system(s).
  • Must be skilled in customer service techniques, tact and good judgment.
Work Environment

The work involves normal risks or discomforts associated with a warehouse environment that is adequately lighted, heated, and ventilated.

Work is performed both indoors and outdoors. Occasional exposure to dusty or dirty conditions exists when working or when facilities undergoing repair, maintenance, or renovation.

This position has oversight for a 24-hour operation and the incumbent must be available and accessible at various hours including evenings, weekends, and holidays as necessary to meet mission requirements.

Incumbent may be considered 'ALPHA' personnel, and therefore subject to work during inclement weather or other states of emergency.

May be required to possess and maintain a current driver's license, as travel to other facilities may be required within the normal scope of duties.

This position is subject to a favorable National Agency Check (NAC).

The incumbent is expected to obtain certification for asset management and/or inventory operations and meet the requirements outlined in the Lodging Career Path Guide.

The incumbent must meet the qualifications for professional accreditation as defined by CNIC lodging policy within 12 months of position appointment.
