Job Overview

The Verland Foundation Inc is in search of a Records Management Specialist. This role is pivotal in overseeing the comprehensive management of resident records and histories, ensuring a systematic, precise, and thorough record-keeping system.

Reporting to the Risk & Records Manager, the Records Management Specialist will collaborate with various departments to facilitate the availability, organization, security, release, and retrieval of resident information. This position also plays a crucial role in conducting regular audits of records to guarantee adherence to local, state, and federal regulations.

This exempt position is integral to maintaining an efficient record system and conducting audits across the organization.

Core Responsibilities:

  • Maintain up-to-date information regarding the census and demographics of residents.
  • Oversee resident charts, ensuring that all medical records are organized, accurate, complete, and readily accessible.
  • Provide authorized personnel with access to information in accordance with organizational policies.
  • Create digital copies of documents and maintain electronic records with a structured approach.
  • Ensure the safeguarding of resident records in compliance with HIPAA standards and organizational privacy policies.
  • Process records for new admissions and discharges efficiently.
  • Assist in updating compliance checklists to meet regulatory expectations.
  • Conduct monthly audits of records to ensure compliance and maintain documentation for quality management reporting.
  • Monitor electronic medical records for discrepancies and work with departments on corrective measures.
  • Support training initiatives related to chart and electronic record maintenance.
  • File all relevant documentation in both electronic and paper formats.
  • Assist in regulatory surveys by compiling information accurately and promptly.
  • Support the rollout of resident and family satisfaction surveys and manage data entry.
  • Maintain an inventory of current forms and ensure organized filing protocols.
  • Assist in compiling information for utilization reviews as needed.
  • Help prepare, scan, and retrieve resident information using designated systems.
  • Organize and file all medical record consents appropriately.
  • Perform clerical tasks such as data entry and assisting in policy revisions.
  • Carry out additional duties as assigned.

Qualifications:

  • Understanding of regulations governing Intermediate Care Facilities and Community Living Arrangements.
  • Ability to learn and navigate the Electronic Health Record system efficiently.
  • Strong writing and typing skills with attention to detail.
  • Critical thinking and independent working capabilities are essential.
  • Proficiency in Microsoft Office Suite, particularly Excel.
  • Excellent organizational and time management skills.
  • Familiarity with medical terminology.
  • Experience with office equipment such as photocopiers and scanners.
  • Solid understanding of HIPAA regulations.
  • Effective communication skills across all staff levels.

Education and Experience:

  • High school diploma or GED is required.
  • Preferred: Two years of experience in a healthcare records department and familiarity with Electronic Health Records.
  • Minimum of two years of data entry experience and knowledge of medical terminology.
