Position Summary

The Procurement Clerk is responsible for executing purchasing functions within the Finance Department. This role encompasses various accounting and financial responsibilities as assigned.

Key Responsibilities
  • Conducts centralized purchasing activities for all departments while ensuring effective inventory management of City assets.
  • Handles the processing and management of bids and price quotations.
  • Prepares and disseminates bid solicitations.
  • Advertises bids, manages addendums, conducts public bid openings, and compiles tabulations.
  • Maintains the City’s online procurement platform.
  • Updates and manages the bidders list and contract documentation.
  • Evaluates departmental recommendations for adherence to policies and procedures.
  • Facilitates public bid openings and prepares necessary documentation.
  • Communicates bid results to both successful and unsuccessful bidders.
  • Issues memos regarding bid outcomes to relevant departments for further recommendations.
  • Processes and approves all requisitions.
  • Reviews requisitions to ensure compliance with City purchasing policies and guidelines.
  • Generates purchase orders following requisition approvals.
  • Completes various accounting tasks as needed.
  • Handles reclassifications and budget adjustments.
  • Prepares financial reports for various departments across the City.
  • Assists Accounts Payable with invoice processing and payments.
  • Supports the payroll process through review and assistance.
  • Oversees the management of the City’s fuel card program.
  • Maintains schedules for the City’s vehicles and leases.
  • Responsible for ordering supplies for the finance office.
  • Performs additional duties as assigned.
Qualifications

The ideal candidate for the Procurement Clerk position should possess a high school diploma or equivalent, with some college-level accounting education preferred. A minimum of three years of experience in this or a related field, or an equivalent combination of education and experience, is required.
