Job Summary

We are seeking an experienced and detail-oriented Interim Program Coordinator to join our Faculty Support team. The successful candidate will be responsible for providing administrative support to faculty members, managing department budgets, and coordinating special events.

Key Responsibilities
  • Manage individual faculty accounts, including tracking expenditures, processing reimbursements, and overseeing monthly telephone/internet allowances and payroll expense for student hires.
  • Collaborate with department chairs to plan expenditures for the fiscal year, process reimbursements, and reconcile CMC Purchase Card transactions.
  • Manage grant accounts, including collaborating with department chairs and/or faculty regarding fiscal spending related to internal/external grants and faculty grants.
  • Provide administrative support to the department, including maintaining the department's calendar, submitting room reservation and facilities requests, and managing hiring and time keeping for Student Assistants, Research Assistants, and outside employment.
  • Collaborate with the department to conduct faculty searches, including submitting requests to post job ads, managing calendars for review teams and candidates, and planning event schedules.
  • Assist with event planning, including creating projected budgets, purchasing supplies, reserving spaces, and assisting with setup and take-down.
Requirements
  • Bachelor's degree or equivalent experience.
  • Two to three years of increasing responsibility as a program coordinator, administrative assistant, or related experience.
  • Experience working in higher education and with heavy emphasis on budget management.
  • Valid driver's license or equivalent means of reliable transportation.
Preferred Qualifications
  • Word processing proficiency at a minimum of 60 WPM.
  • Advanced knowledge of Microsoft Office software, including Word, Excel, and Outlook.
  • Familiarity with Adobe for creating and editing PDFs.
  • Ability to create materials using MS Word, MS PowerPoint, and/or MS Publisher, Canva, or Adobe Photoshop.
Working Conditions

The regular hours for this full-time position are 8:00 to 5:00 p.m., Monday through Friday. Overtime hours may be required as needed but must have prior approval of the supervisor. Work may include some evenings and weekends.

Classification and Status

This is a non-exempt, regular, 12-month, full-time, benefits-eligible position.
