POSITION SUMMARY:
Under close supervision, this role provides essential administrative assistance to the Human Resources Department. The intern will engage in customer service tasks and support employees in completing HR-related documentation. Responsibilities include a variety of clerical duties such as filing, data entry, copying, and assisting with various projects.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES include the following. Other duties may be assigned.
  • Support the orientation and onboarding process for new hires.
  • Organize and maintain employee records in designated files.
  • Ensure filing systems are current and assist with the purging process in line with record retention policies.
  • Contribute to City-sponsored employee events and projects as needed.
  • Assist with pre-employment screenings for volunteers, seasonal, and part-time staff.
  • Maintain confidentiality regarding employee issues, records, and communications.
  • Handle mailings to respondents, including regret notices for applicants.
  • Assist with special projects as assigned.
  • Support employee training initiatives.

EDUCATION, EXPERIENCE, AND LICENSURE:
  • High School diploma or GED preferred, or current High School Student (must be at least 17 years old).
  • One year of prior office experience is preferred.
  • Proficiency in Microsoft Office Suite, including Excel and Word.
  • Previous experience in Human Resources is advantageous.
PHYSICAL REQUIREMENTS:
Physical Demands: Moderate physical activity with the capacity to lift up to 25 pounds. Occasional lifting, carrying, walking, and standing required, along with hand/eye coordination for computer operation; vision for reading and preparing documents; frequent verbal communication and listening skills to interact with employees and citizens.

Work Environment: Primarily operates in a clean, comfortable setting. The role involves frequent interruptions and pressure from multiple inquiries. Regular communication with employees and citizens is necessary, along with the ability to navigate between buildings to fulfill job responsibilities.
