About the RoleThe ideal candidate will oversee the smooth daily operations of the office, ensuring a high level of customer satisfaction and operational efficiency. Key responsibilities include:
- Answering incoming phone calls with professionalism and friendliness.
- Scheduling HVAC service and maintenance appointments to ensure customer satisfaction.
- Greeting and assisting visitors, creating a welcoming environment.
- Managing the Customer Relationship Management (CRM) system.
- Utilizing no-code automation tools (such as Zapier or Airtable) to streamline office workflows.
- Overseeing the implementation and adherence to office policies and procedures.
- Ensuring all documentation for customers, distributors, and tax credit programs is accurately prepared and submitted.
- Processing accounts payable and receivable using QuickBooks Online.
- Tracking and submitting sales and use taxes.
- Working closely with the CPA to provide necessary financial records.
- Paying invoices and managing financial workflows.
