This position is responsible for providing a wide range of activities, including initiating patient intakes, scheduling appointments, performing insurance screening and verification/authorization processes, patient registration, handling customer calls/inquiries, entering patient charges, responding to medical records requests and billing inquiries, preparing reports, and maintaining department records.

Responsibilities:

  • Communicate all pertinent information to patients/customers at initial and subsequent contacts.
  • Answer incoming department calls within three rings, field calls, and take appropriate action.
  • Monitor voicemail and initiate follow-up, relaying messages to staff per department guidelines.
  • Obtain and document all pertinent information for scheduling intake to facilitate effective insurance verification, scheduling, and registration processes.
  • Verify insurance on all new referrals and screen appropriately for department-specific needs.
  • Document all interactions with insurance representatives, patients/customers, and interested parties.
  • Pursue discrepancies with insurance company representatives, patients, and supervisors.
  • Compile statistical information as needed and print daily scheduling reports.
  • Follow department procedures for initiating required authorizations for services and verifying receipt of authorizations.
  • Pre-register patients, obtain insurance cards, prescriptions, and registration forms.
  • Update and enter information in the registration system, obtain patient signatures, and inform patients of co-payment/payment responsibilities.
  • Compile new patient charts and schedule, re-schedule, coordinate, and prioritize multiple service needs.
  • Advises patients/customers of department guidelines related to scheduling, registration, cancellations, and late arrivals.
  • Complete all scheduling processes prior to patient visits and ensure all parties have necessary information.

Qualifications:

  • High School diploma, GED, or equivalent programs.
  • Minimum 1 year related work experience in a physician practice, hospital setting, or customer service setting.
  • Good organizational skills, ability to set priorities effectively.
  • Excellent communication, written, and interpersonal skills, and ability to accept direction and perform multiple tasks.
