PRIMARY ROLE:

Accountable for the enrollment of all individuals utilizing services at the organization, focusing on patient accessibility and satisfaction, verification of insurance and demographic details, and accuracy in point-of-service collections, while upholding confidentiality, professionalism, and ethical standards consistently.

KEY RESPONSIBILITIES:

**1.** Ensures precise registration of all patients within the organization while maintaining knowledge of all necessary information required for various patient types in the database, facilitating timely and accurate reporting and billing.

**2.** Distributes patient-related documents and secures patient or designated representative's signatures on all essential consents, permits, financial forms, and charity applications when relevant.

**3.** Collects patient responsibility amounts (co-pays, deductibles, coinsurance, full costs for non-covered/self-pay services) in accordance with service standards and refers patients to financial assistance when necessary. End-of-day cash reconciliation is mandatory, and documentation of all co-pay collections is required.

**4.** Responsible for entering orders, including but not limited to Observation, Laboratory, Radiology, Therapy, and/or Physician services relevant to the assigned area. Timely and accurate reconciliation of ordered services may necessitate communication with the respective department to prevent revenue loss.

**5.** Obtains precertification status for applicable services, such as Same Day Surgery Accounts, Outpatient Radiology & Cardiology Tests, and/or Physician Services, or Pharmacy Services.

**6.** Collaborates with Nursing Services or designated personnel to optimize the utilization of available beds, including inpatient, observation, and skilled care, while adhering to appropriate registration and order entry standards.

**7.** Manages centralized scheduling for the organization using relevant databases, ensuring that the appropriate department or physician has the necessary information and assists in maximizing scheduling capacity.

**8.** Utilizes insurance verification tools to accurately confirm patients' insurance details, maintaining an error rate in line with service standards.

**9.** In certain situations, may act as the primary Switchboard Operator during shifts, which includes answering all incoming and internal calls, directing the public to appropriate areas, coordinating emergency codes as necessary, and maintaining a clergy file when required.

**10.** May be tasked with mail distribution, preparation, inventory management, restocking, and chart retrieval responsibilities as needed.

**11.** To ensure the highest quality of care for patients, individuals may be required to work beyond their normal scheduled hours and must adhere to the organization's attendance policy.

  1. Assists in training peers, colleagues, and management as requested.
  2. Complies with all current and future policies and procedures, reporting directly to the Supervisor of Patient Registration.
  3. Attends all mandatory educational, compliance, and safety programs as required by the position.
  4. Demonstrates the importance of meeting patient/customer needs by interacting in a friendly and caring manner, being attentive to both psychological and physical needs, and maintaining communication to provide a secure and pleasant experience throughout the organization.

EDUCATION:

High school diploma or equivalent.

EXPERIENCE:

A minimum of six months of prior experience in healthcare, finance, collections, or billing is preferred. Proficiency in computer applications is required. Familiarity with medical terminology and coding is advantageous.

EXPECTATIONS:

Setting daily objectives (maintaining a goal sheet).

Submitting suggestions or revisions if daily goals are not achieved.

REQUIREMENTS:

Strong interpersonal skills; ability to relate well with a diverse range of professionals, patients, and others within the organization. Must be courteous, respectful, and trustworthy in safeguarding confidential information.

PHYSICAL DEMANDS:

Light physical activity. Emergency room environment (as applicable). Patient interaction involves sitting, walking, and computer usage.

EXPOSURE CATEGORY:

Category III. Tasks involve no exposure to blood, body fluids, or tissues. Category I tasks are not a condition of employment.
