Key Responsibilities:

  • Oversee daily operational requirements, including but not limited to coordinating over 40 trip support services/products such as customer ground handling, operational permits, slots, flight monitoring, accommodations, and transportation.
  • Manage global Customs, Immigration, and Agriculture services, including customs arrangements and the submission of Border Overflight Exemptions.
  • Develop, maintain, and process operational changes for customers to ensure successful trip execution in our internal systems.
  • Generate Trip Cost Estimates within our operational framework.
  • Provide customers with fuel quotes and/or Sales Orders (SO) and serve as the primary backup for Global Fuel Logistics during high-demand events.
  • Ensure quality control for trips managed under Global Trip Support.
  • Handle customer communication management, assisting with all operational communications, including phone calls, faxes, emails, and SITA/AFTN traffic.
  • Possess a comprehensive understanding of Global Trip Support aviation products and services, effectively marketing them to customers.
  • Ensure all operational trips are current and updated promptly based on the latest customer communications.
  • Act as the primary contact for designated customer accounts in the Commercial/Military business segment.
  • Enhance and maintain customer relationships for these designated accounts.
  • Assist in delivering unmatched service quality and communication to all customers.
  • Provide expert support and consultation for the Commercial/Military business segment.
  • Responsible for producing Flight Planning & Weather Briefing for customers.
  • Possess varying levels of technical experience as required.
  • Understand ATC regulations and flight planning systems such as PPS8, Air Inc, and/or Navblue.

Additional Responsibilities:

  • Serve as a backup Flight Planner and/or Meteorologist, as applicable and qualified.
  • Provide backup support to other services.
  • Monitor communications outside of regular business hours and on weekends as needed.
  • Perform other duties as assigned by management.
  • Assist colleagues in achieving company objectives.
  • Working hours will be determined by the Sr Director of Global Operations.

Knowledge/Skills:

  • Ability to act with confidence, assertiveness, tact, and diplomacy in various situations.
  • Proficient in addressing sensitive issues and employing methods for persuasion and conflict resolution.
  • Maintain professionalism in high-pressure situations and negotiations.
  • Collaborate effectively with other departments and interact with employees at all organizational levels.
  • Strong technical skills in the MS Office suite are essential.
  • Ability to work independently with minimal supervision is crucial.
  • Willingness to work across a shift plan that includes days, nights, weekends, and holidays, as we operate 24/7 year-round.

Job Requirements:

Education:

  • Aviation Bachelor's degree is highly preferred.
Experience:
  • 0 - 2 years preferred in the aviation sector (must meet educational requirements or possess equivalent work experience).
Customer Service:
  • Demonstrates strong customer service knowledge and skills.
Work Quality:
  • High attention to detail is essential for this position.
Industry Knowledge:
  • Familiarity with customers, vendors, competitors, and primary products & services offered.
Travel Requirements:
  • None or minimal - infrequent travel of short to moderate duration, typically to planned events or meetings.

Segment Specific Commercial / Military:

  • Knowledge and use of PPS8, Air Inc, and/or Navblue.
  • Ability to provide Flight Planning & Weather Briefing to customers.
  • Understanding of ATC regulations and flight planning systems.
  • Basic capability to create and prepare flight planning and weather packages for customers under supervision.
  • Coordinate and gather information to identify potential hazards affecting flight safety and routing.
  • Input customer-specific aircraft specifications into operational systems.
  • Utilize technical knowledge to evaluate and develop future operational ATC routings to ensure flight safety.
