Position Summary:

We are seeking a dedicated Front Desk Coordinator to support our operations. The individual in this role will be tasked with:

  • Welcoming patients; updating personal and insurance details, securing necessary signatures, and facilitating follow-up appointments.
  • Managing incoming calls and scheduling appointments through our computerized system. Ensuring the upkeep of scheduling and promptly relaying messages to physicians.
  • Verifying patient eligibility, obtaining necessary authorizations, and processing referrals as well as managing drug inventory.
  • Handling cash transactions and performing end-of-day reconciliations, including collecting copays and outstanding balances.
  • Conducting patient recalls.
  • Sorting and distributing mail and faxes.
  • Assisting with patient preparation, including rinsing and numbing procedures as required.

Additional Responsibilities: Other tasks as assigned by the Clinical Operations Manager or attending physician.

Experience Requirements:

  • No prior experience required.

Preferred Experience:

  • One year of experience in a medical office or front desk environment.

Educational Requirements:

  • High school diploma is required; a college degree or ongoing education is preferred.

Physical Requirements:

  • Must be able to remain stationary for at least 50% of the scheduled shift, frequently move around the office to assist patients, access supplies, and lift up to 50 pounds. Effective communication with patients to convey necessary medical and financial information is essential, along with accurate documentation in EMR and practice management systems.

Travel Requirements:

  • Regular travel to multiple clinic locations may be necessary, with occasional travel to other sites as needed.

Equipment Utilization:

  • Position requires proficiency in using office equipment such as telephones, computers, copiers, faxes, and scanners, as well as medical equipment like pharmaceutical refrigerators.

Unique Position Conditions:

  • OSHA Classification Category II. Job responsibilities involve no exposure to blood, bodily fluids, or tissues, although the role may require performing unplanned Category I tasks.
