Position Overview

We are in search of a dedicated Healthcare Reception Specialist to enhance our operations at GastroIntestinal Associates, SC. This essential role is crucial in fostering a welcoming environment for both patients and staff. The successful candidate will demonstrate exceptional customer service skills, ensuring a warm reception for patients and visitors, managing check-ins with precision, addressing phone inquiries efficiently, coordinating appointments, and overseeing physician referrals.

Key Responsibilities

  • Warmly greets patients and visitors, providing courteous assistance to physicians, patients, colleagues, and guests.
  • Facilitates the patient check-in process by accurately collecting demographic and insurance details, ensuring all forms are completed and verified for accuracy, and managing patient arrivals in both practice management and electronic medical record systems.
  • Handles co-payments and co-insurance collections, issuing receipts as necessary during the check-in process.
  • Responds promptly to telephone inquiries, records messages for healthcare providers, schedules patient appointments across all locations, and updates schedules as needed.
  • Processes incoming referrals from physician offices, maintaining professional relationships with referring entities, and ensuring timely scheduling of appointments.
  • Monitors and manages portal messages, directing them to the appropriate teams for response.
  • Conducts daily cash drawer reconciliations and secures the cash drawer at the end of each day.
  • Prepares necessary documentation and records for incoming patients at the Endoscopy Center, ensuring all materials are ready for staff use.
  • Completes follow-up tasks post-procedure, coordinating with nursing staff for patient callbacks and tracking cases for necessary follow-up actions.
  • Performs various clerical duties, including preparing procedure packets, maintaining reports, and managing office supplies.
  • Ensures the reception area and waiting room are clean and organized, addressing any maintenance needs as they arise.
  • Actively participates in departmental meetings, contributing ideas to enhance teamwork and operational effectiveness.
  • Regularly checks and maintains first aid supplies and emergency equipment.
  • Upholds the highest standards of patient confidentiality at all times.
  • Undertakes additional responsibilities as assigned, which may include managing outgoing referrals and patient satisfaction surveys.

Qualifications

  • Education
    • High school diploma or equivalent required.
    • Preferred: Advanced training or certification in a healthcare office program.
  • Experience
    • Minimum of one to two years of experience in a medical office reception role or related healthcare field.

    • Familiarity with medical terminology and healthcare appointment procedures.

    • Exemplary phone etiquette and customer service skills to create a positive impression.
    • Strong interpersonal and communication skills for effective interaction with patients and staff.
